We are seeking an experienced Bid Coordinator who will play a critical role in managing and supporting our preconstruction and procurement process. Position Summary:

This position is responsible for organizing bid documentation, tracking deadlines, coordinating with internal teams, and communicating with subcontractors and suppliers to ensure accurate, competitive, and timely bid submissions. The ideal candidate will thrive in a fast-paced environment with multiple projects bidding simultaneously and possess strong communication, organizational, and time-management skills.

Key Responsibilities:

Subcontractor Outreach & Invitation Distribution

  • Review bid invitations, specifications, and drawings to ensure compliance with project documents, instructions, and deadlines.
  • Prepare and distribute bid packages to subcontractors and suppliers via iSqft, PlanHub, and BUILD’s internal directory.
  • Organize and maintain a database of subcontractor / vendor contact information.
  • Coordinate pre-bid meetings, RFI submissions, and addenda distribution.

Bid Tracking & Response Management

  • Ensure a sufficient number of qualified bids are received in each trade division.
  • Follow up with subcontractors to confirm participation and address their questions.
  • Track bids on a Microsoft Excel Log showing each subcontractor’s response status.
  • Manage and prioritize multiple bids simultaneously based on bid due dates.
  • Organize submitted bids and maintain project files in compliance with internal standards.

Central Communication Hub

  • Regularly communicate with our estimator and project manager regarding trade coverage and create a plan of action for gaps.
  • Act as the primary liaison between subcontractors and estimators throughout the bid process.
  • Distribute RFIs, clarifications, and addenda; ensure all parties receive timely updates.
  • Assist in coordinating internal bid reviews and follow-ups.

Qualifications & Skills:

  • Working knowledge of construction terminology, subcontractor trades, and general construction bid procedures.
  • Proficiency in Microsoft Office with an emphasis on Excel and Adobe Acrobat.
  • Experience with construction software such as iSqFt, Plan Hub, Procore, BlueBeam, and PlanSwift.
  • Strong organizational and communication skills both written and verbal; Bilingual in English/Spanish is a plus.
  • Ability to multi-task in a fast-paced environment and meet multiple bid deadlines.
  • Attention to detail and commitment to accuracy.
  • Knowledge of the construction bid process and subcontractor/vendor outreach is highly preferred.
