About the Role
We are seeking a proactive Dispatch Support Specialist to assist our busy dispatch team. This role is ideal for someone who is highly organized, comfortable with multitasking, and thrives on supporting both customers and internal teams. You’ll be the behind-the-scenes problem solver, keeping communication smooth, inboxes organized, and customers informed.
What You’ll Do
- Organize and manage email communications for the dispatch department, ensuring all requests are addressed or escalated.
- Call customers to confirm appointments, provide updates, or relay information from the dispatch team.
- Assist dispatchers with scheduling by gathering information, checking availability, and updating systems.
- Handle administrative tasks, including data entry, job notes, and ensuring ServiceTitan records are accurate.
- Follow up on open tasks or pending jobs, ensuring nothing falls through the cracks.
- Provide general support to the dispatch team and management as needed.
Requirements:
What We’re Looking For
- Exceptional organizational and time-management skills — you’ll be the “air traffic controller” for communications.
- Clear, professional communication skills, both written (emails) and spoken (customer calls).
- Tech-savvy — experience with tools like ServiceTitan, and Microsoft Office 365 is a plus.
- Problem-solver with a positive attitude — someone who can adapt and support multiple priorities at once.
- Previous experience in dispatch, admin support, or customer service is highly desirable.
