Job DescriptionWe are seeking a detail-oriented Quality Assistant to support our Quality Assurance Department. This role is responsible for maintaining accurate documentation, coordinating subcontractor purchase orders, and preparing shipping, receiving, and product certification documents. - Maintain accurate documentation for all Quality Assurance activities
- Prepare product Certificates of Compliance
- Coordinate subcontractor purchase orders (POs)
- Prepare shipping and receiving documentation
Specific Responsibilities1. Subcontractor Purchase Order Coordination
- Assist Production with requesting subcontractor quotes
- Prepare subcontractor POs and receivers in the ERP system
- Monitor and report PO status during daily production meetings
2. Shipping & Receiving Coordination
- Prepare product certification packages
- Prepare shipping and receiving documents (packing lists, bills of lading, receivers)
- Coordinate with Sales to identify customer-paid shipping
3. Customer Billing Support
- Deliver certification packages to Sales and Shipping
- Deliver shipping documentation to Sales to support accurate and timely billing
4. Quality Assurance File Management
- Maintain and close completed sales order folders
- Ensure certification packages are filed accurately and on time
5. Other Duties
- Perform additional tasks as assigned by the Quality Assurance Manager
Minimum Requirements
- Proven experience in data entry and file management with 100% accuracy
- Experience with purchase orders (POs) and receivers
- Experience with shipping and receiving documentation
- Import/export portal experience strongly preferred
- Excellent written and verbal communication skills
- Daily interaction with vendors and participation in production meetings
- Strong computer skills
- Proficient in Microsoft Word, Excel, and Outlook
- ERP system experience required (Epicor 10 preferred, but other ERP experience acceptable)
- Excellent organizational skills with the ability to multitask and provide status updates throughout the day
Work Schedule
- Monday – Friday, 8:00 AM – 5:00 PM
- Overtime may be required periodically
