Robert Half is looking for a detail-oriented Administrative Assistant to join our team in Frankfort, Kentucky. This is a long-term contract position that offers an excellent opportunity to support daily operational activities and contribute to the smooth functioning of the organization. The ideal candidate will have strong organizational skills, the ability to multitask, and a proactive approach to problem-solving.
Responsibilities:
• Operate and maintain copy center equipment to complete tasks such as copying, folding, and labeling, ensuring all requests meet high standards.
• Manage incoming and outgoing mail, including express deliveries, and distribute faxes and inter-office mail efficiently.
• Stock and organize corporate supplies, ensuring breakrooms are well-equipped and supply orders are promptly fulfilled.
• Conduct facility walkthroughs to monitor the performance of janitorial staff and provide detailed reports as needed.
• Assist with the preparation and organization of meeting spaces and work areas, ensuring readiness for events and activities.
• Collaborate with vendors and provide support for building maintenance and operational needs.
• Handle ad hoc tasks and projects assigned by the Business Logistics Administrator, Facilities Administrator, or Managing Director.
• Foster collaboration across departments to ensure smooth communication and coordination of activities.
• Proficiency in answering inbound calls and providing exceptional customer service.
• Skilled in data entry and maintaining accurate records.
• Experience with email correspondence and managing detail-oriented communication.
• Familiarity with scheduling appointments and calendar management.
• Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
• Ability to handle inbound and outbound calls efficiently.
• Strong organizational and multitasking abilities to handle diverse responsibilities.
