About the Role
The Patient Support Specialist is the first point of contact for patients at Phoenix Mental Health, ensuring every interaction is welcoming, efficient, and compassionate. This role plays a vital part in supporting both clinical and administrative operations from scheduling and insurance verification to patient communication and post-visit follow-up. All training will be provided, so while prior experience in healthcare or mental health settings is a plus, it is not required. Your work will help uphold our mission to deliver exceptional, patient-centered mental health care.
Key Responsibilities
Patient Communication & Coordination
- Greet and assist patients in person, by phone, and via secure messaging with professionalism and empathy.
- Respond promptly to inquiries about appointments, services, treatment plans, and general clinic information.
- Communicate clinic policies, treatment preparation instructions, and follow-up care requirements clearly and accurately.
- Coordinate with clinical staff to address urgent patient needs and ensure continuity of care.
Scheduling & Administrative Support
- Schedule, confirm, and reschedule appointments while minimizing disruptions to clinic flow.
- Manage provider calendars, including coordination of follow-up visits and treatment sessions (TMS, Spravato, ketamine, ECT).
- Maintain accurate patient records in the EHR system in compliance with HIPAA and clinic standards.
Patient Experience & Support Services
- Monitor patient wait times and proactively communicate delays.
- Assist patients with required forms and assessments (e.g., PHQ-9, GAD-7, SHAPS).
- Follow up post-treatment to ensure satisfaction and address concerns.
Compliance & Quality Assurance
- Maintain confidentiality and comply with HIPAA regulations at all times.
- Adhere to clinic SOPs, payer requirements, and patient care protocols.
- Participate in staff meetings, training sessions, and quality improvement initiatives.

Pay Range: $18 per hour (based on experience)
