Job DescriptionCustomer Communication
• Manage all incoming calls and texts through our Quo phone system — our dedicated call
center platform for scheduling and customer support
• Answer customer inquiries in a friendly, professional manner and respond promptly to
missed calls or messages
• Listen carefully to each customer's needs and ask the right questions to get the full picture
• Gather key delivery details: type of water needed, volume, urgency of delivery, site location,
and any special instructions or access requirements
• Log all call activity and customer interactions accurately within Quo for visibility across the
team
• Communicate realistic delivery windows and set clear expectations with customers
• Follow up with customers when needed to confirm details or relay updates
• Handle multiple customer interactions at once without dropping the ball on any of them
Scheduling & Order Management
• Enter all order details accurately into the dispatch system — the details you capture drive
everything downstream
• Prioritize deliveries based on urgency, location, and driver availability
• Coordinate with the Senior Dispatcher to align scheduling with available drivers and fleet
capacity
• Flag any unusual requests, tight timelines, or special delivery conditions so the right people
are looped in
• Keep the schedule updated in real time as orders come in, change, or get cancelled
Delivery Ticket Review & Approval
• Review completed delivery tickets to confirm all required information is present and accurate
• Verify delivery details against the original order — type of water, quantity, location, and any
special instructions
• Approve tickets that are complete and correct; send back anything that needs a correction
• Once approved, close the delivery as completed in the dispatch app
• Flag any discrepancies or patterns of errors to the Senior Dispatcher for follow-up
Reporting
• Pull daily and weekly reports on driver hours to support scheduling decisions and
compliance tracking
• Generate delivery count reports on a daily and weekly basis — by driver, route, or customer
as needed
• Review reports for any anomalies and bring them to the Senior Dispatcher's attention
