Bookkeeper – Job Description

Position Overview:
We are seeking a detail-oriented and organized Bookkeeper to support our accounting functions. The ideal candidate will manage daily financial transactions, maintain accurate records, prepare reports, and assist with payroll and contractor documentation. This role requires strong proficiency with accounting software, excellent numerical accuracy, and effective communication skills. Construction and Land Development knowledge preferred but not necessary.

Key Duties & Responsibilities

  • Accurately record daily financial transactions into accounting systems, ensuring consistency across all accounts.
  • Prepare and submit weekly and monthly financial summaries and reports for management review.
  • Coordinate with annual tax preparation and provide documents and explanations.
  • Streamline invoice handling procedures to reduce overdue accounts and improve reporting timelines.
  • Utilize accounting software (e.g., QuickBooks) to process financial data and generate efficient reports.
  • Manage new employee intake applications and W-9 processing.
  • Administer contractor agreements and ensure submission of required W-9 forms.
  • Oversee payroll functions, including retrieving timesheets, preparing checks, and administering approval processes.
  • Prepare and manage lien releases for contractors as needed.
  • Issue invoices promptly and track payment status.
  • Assist with bid preparation and associated financial documentation.
  • Produce regular financial reports and ad hoc analyses as requested.

Skills & Qualifications

  • Proficient with QuickBooks Desktop Software and Microsoft Excel.
  • Strong understanding of general accounting and financial principles.
  • Exceptional attention to detail with the ability to identify and correct numerical discrepancies.
  • Well-developed organizational and time management skills, capable of prioritizing tasks in a deadline-driven environment.
  • Effective verbal and written communication skills with the ability to interact professionally with internal teams and external partners.
  • Strong understanding of financial accounting principles within a multi-entity enterprise.

Preferred Experience (optional)

  • Previous experience in bookkeeping, accounting, or financial administration.
  • Comfortable working autonomously and within a small team.
