We are looking for a detail-oriented and personable Receptionist to join our client's team (tech industry) on a contract basis in San Diego, California. In this role, you will serve as the first point of contact for visitors and callers, ensuring a welcoming and organized office environment. This position is ideal for someone who thrives in a fast-paced setting and enjoys providing excellent customer service.
Responsibilities:
• Answer and manage a multi-line phone system, directing calls to the appropriate departments or individuals.
• Welcome and assist visitors with a friendly and detail-oriented approach.
• Schedule appointments and maintain an organized calendar for office activities.
• Coordinate and arrange lunches or refreshments for meetings and events.
• Handle email correspondence, responding promptly and courteously to inquiries.
• Perform data entry tasks, ensuring accuracy and attention to detail.
• Organize and maintain physical and digital files for easy access.
• Utilize Microsoft Office applications, including Word, Excel, and Outlook, to complete daily tasks.
• Support general office operations and provide assistance to team members as needed.
Requirements:
• At least 1 year of experience in a receptionist or similar administrative role.
• Proficiency in managing a multi-line phone system.
• Strong customer service skills with a focus on professionalism and courtesy.
• Competence in Microsoft Office applications, including Word, Excel, and Outlook.
• Excellent organizational skills and attention to detail.
• Effective communication skills, both written and verbal.
• Ability to prioritize tasks and manage time efficiently.
• Familiarity with scheduling and maintaining appointment calendars.
