We’re seeking a highly organized, tech-savvy, and proactive Strategic Executive Assistant to support the daily operations and long-term projects of an executive working across education, recruiting, marketing, and small business leadership. This role is ideal for someone who is resourceful, systems-minded, and confident owning their lane once trained.
This is a high-trust, part-time role designed to grow into a full-time position once onboarding is complete and workflows are established. You’ll start by learning current processes and then help build better ones — while helping track tasks, follow up on compliance, support hiring, and manage a range of operational needs across multiple projects and platforms.
Key Responsibilities
Hiring & Applicant Management
- Draft and post job openings across platforms (e.g., CareerPlug, LinkedIn, Indeed)
- Review applicant materials, conduct screener calls, and determine if candidates move forward
- Maintain trackers and follow-up status on all open roles
Social Media & Content Support
- Organize and upload posts across Instagram, LinkedIn, and other platforms
- Help manage personal and professional account content for the executive (not company accounts)
- Maintain Canva folders, caption docs, and help with scheduling
Financial Admin & Expense Tracking
- Enter receipts and transactions into QuickBooks
- Organize and reconcile reimbursable expenses monthly
- Maintain clear records and prep monthly overviews for review
Internal Compliance & Documentation
- Weekly tracking of school staff timesheets and service logs
- Send follow-ups and reminders for missing documentation
- Audit Google Drive folders and confirm staff compliance
Executive Support & Project Organization
- Maintain shared Google Drive, calendars, and digital files
- Create and manage recurring task checklists (daily/weekly/monthly)
- Provide daily or weekly progress summaries
- Handle select personal admin tasks (errands, reminders, organization)\
Required Qualifications
- Strong proficiency in Google Workspace (Docs, Sheets, Slides, Drive, Calendar)
- Working knowledge of Microsoft Office (Excel, Word, PowerPoint)
- Experience using Zoom and remote collaboration tools
- Strong written communication and time management skills
- Ability to follow instructions, manage recurring tasks, and work independently
- Based in the Bay Area and available for occasional in-person meetings or coordination
Preferred Qualifications
- Familiarity with tools like Canva, CapCut, QuickBooks, CareerPlug, or Crelate
- Prior experience supporting a founder, executive, or small team
- Exposure to recruiting, admin operations, or compliance tracking
- Design, content management, or file organization skills (tool-flexible)
