Position Overview
We are seeking a reliable and detail-oriented Administrative Assistant to join our team. This role is essential in supporting our advisors and ensuring the smooth daily operation of the office. You’ll be the first point of contact for clients, manage scheduling and documentation, and help maintain a clean, organized, and professional office environment.
Key Responsibilities
Greet clients and manage incoming calls and office communications
Schedule meetings and coordinate advisor calendars
Prepare client files and assist in onboarding new clients
Manage client correspondence and follow-up
Maintain organized filing systems (both digital and physical)
Assist with data entry into financial planning software and CRM
Order office supplies and maintain inventory
Manage QuickBooks for basic bookkeeping and expense tracking
Support compliance documentation and client paperwork processing
Support internal and client-facing events and communication
Maintain cleanliness and orderliness of the office, including common area and offices
Ideal Candidate Qualities
Highly organized, detail-oriented, and proactive
Strong written and verbal communication skills
Friendly, professional, and client-focused demeanor
Able to handle sensitive information with confidentiality
Comfortable with Microsoft Office applications (Word, Excel and PowerPoint) and willing to learn new systems (e.g., CRM, financial planning software)
Experience with QuickBooks preferred, but not required
Prior experience in a financial, insurance, or professional services office is a plus
Requirements
2+ years of administrative or office support experience
High school diploma or equivalent (college degree preferred)
Ability to work onsite in Round Rock, TX
Authorized to work in the United States
