PATIENT POPULATION:
The patient population served can be all patients including geriatric, adult, adolescent, pediatric, and newborn. This also includes services which affect facility staff, physicians, visitors, vendors and the general public.
POSITION SUMMARY:
Under direction of the Manager of Medical Staff Services the Credentials Coordinator oversees the credentials process for the Medical Staff and Allied Health Professionals in compliance with Medical Staff Bylaws and all regulatory agencies. Additionally, they provide administrative and clerical support to the Medical Staff Services Department, including support of department and committee meetings.
Must be able to work normal/scheduled working hours to include Holidays, call-backs, weeknights, weekends, and on-call. Agrees to participate, as directed, in emergencies and community disasters during scheduled and unscheduled hours. As a designated disaster service worker you are required to assist in times of need pursuant to the California Emergency Services Act.

To perform this job successfully, an individual should be a high school graduate or equivalent. Some college preferred.
To perform this job successfully, it is highly recommended that an individual have knowledge and experience in Medical Staff Services and credentials processing.
Requires excellent office, analytical skills and organizational skills. Experience with medical terminology and recording and transcribing official meeting minutes is strongly preferred. Experience with call schedule preparation and call payment is preferred. Must have the ability to deal effectively with individuals at all levels of the organization. Must have a minimum of two (2) years of experience in a hospital or provider organization.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence if required. Provides excellent written and oral communication skills, and supporting administrative assistant duties to assist the medical staff organization.
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages if required.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Ability for independent critical thinking and decision making in challenging situations. Reviews and assesses many parameters and variables to define key problems and evaluates reasonable alternatives after taking action. Interprets technical information and forms solid conclusions.
To perform this job successfully, an individual should have typing ability of 65 wpm. Proficient in Microsoft Office programs including graphs and formulas."
LICENSURE/CERTIFICATIONS:
Knowledge consistent with a National Certification for Certified Provider Credentialing Specialist (CPCS) or Certified Professional Medical Services Management (CPMSM) is strongly preferred.
Responsibilities and Essential Functions:
*Indicates Essential Function
1 * Process all credentialing applications in a timely manner.
2 * Coordinates all proctoring activity, and assists in the overall process with each proctor/proctoree. Ensures proctoring reports are documented and moved through the departments, up to the Board of Directors.
3 * Responds to verification requests from other organizations.
4 * Prepares meeting agendas, transcribes the minutes and any follow up.
5 * Maintains and monitors records on licensure, certification, continuing education, Drug Enforcement Agency registration, mal-practice information, and other required elements.
6 * Processes and maintains meetings for Medical Staff and the Medical Staff notices and calendars. Supports Medical Staff department and committee meetings. Maintains Medical Staff monthly/annual meeting calendars.
7 * Monitors all credential expirations of all providers on the Medical Staff. Follows up to obtain renewals and update credentialing database.
Populates and maintains the Medical Staff call panel, including obtaining call schedules, populating and distributing call schedules throughout the organization, and processing payment to call physicians.
8 * Maintains attendance on site and arrives to work on time.
