DEFINITION:
The Secretary is employed for full-time or part-time services at the discretion of the President. The Secretary serves under the direct supervision of the UR Manager.
TASKS, DUTIES, AND RESPONSIBILITIES:
The Secretary’s tasks shall include, but are not limited to the following:
1. Facilitate and organize office systems in a manner that enables clear communication among all supervisors/staff.
2. Responsible for typing, copying, and filing.
3. Answer phones and greet visitors in a pleasant and professional manner.
4. Confirm client appointments daily, along with scheduling clients when needed.
5. Assist with the creation of client files before their admission and completion of the discharge process of client files.
6. Process all incoming and outgoing correspondence.
7. Prepare a weekly spreadsheet for the SCA and monthly SCA billing invoices, which includes but is not limited to ensuring liabilities and funding streams are completed, attaching Provider Responses, ensuring the clients are entered in WITS, and submitting them for review to the Supervisor by the specified day.
8. Complete encounter forms and submit them for review to the Supervisor by the specified day.
9. Complete the SCA report and show reports monthly.
10. Complete client rosters and certificates.
11. Monitor client Medical Assistance eligibility twice monthly for specified clients.
12. Process monthly Purchase Requests to be approved by the Supervisor and forwarded to the Corporate Office.
13. Monitor office supplies and submit them to the supervisor for supply orders.
14. Verify client insurance rates, preauthorization, and copays before the admission appointment.
15. Collect co-pays at the time of service, process payment arrangements, handle petty cash, and assist with the counting of the deposit with the Supervisor.
16. Prepare and mail out client monthly statements.
17. Handle all client information in a confidential manner.
18. Provide assistance to the Supervisor when needed for other tasks upon request.
Requirements:
PHYSICAL REQUIREMENTS:
1. Ability to complete Confidentiality training and implement its practices and techniques in accordance with Agency policy.
2. Capable of driving company vehicles as needed.
3. Ability to provide Child Abuse, PA State Police, and FBI Clearance that is dated within the last year.
4. Ability to complete and pass training in First Aid and CPR.
SKILLS, KNOWLEDGE, AND ABILITIES:
1. Ability to accurately type approximately 65 words per minute.
2. Ability to work together as a team and bring a positive attitude to the workplace.
3. Possess exceptional working knowledge of computer software and hardware operations.
4. Proficient knowledge of working with spreadsheets, databases, and forms within the software provided, such as Excel, Word, Google Sheets, etc.
5. Proficient in all office/medical procedures and equipment operations.
6. Work independently in the completion of assignments.
7. Possess excellent written and verbal communication.
8. Handle multiple tasks and projects in an organized manner with the ability to adapt to changes in a fast-paced environment.
9. Possess positive values and the ability to exhibit good moral judgment.
10. Must be reliable and possess exceptional organizational skills.
11. Ability to comprehend and abide by the Agency Code of Ethics.
EDUCATION AND EXPERIENCE:
1. Minimum of high school diploma or GED. Proof of education is required.
2. Previous secretarial experience required.
3. Must be 21 years of age or older.
