Key Responsibilities (Fleet Administration / Operations Support)

  • Manage day-to-day fleet administration for approximately 250 vehicles and service trucks
  • Coordinate vehicle purchases, auctions, registrations, insurance, and compliance documentation
  • Track fleet activity using Excel tracking logs, spreadsheets, and multiple internal systems/databases
  • Ensure GPS / vehicle tracking devices are ordered, installed, removed, and returned to headquarters as required
  • Own end-to-end fleet processes, including following up on missing or incomplete information and driving tasks to completion
  • Partner cross-functionally with Operations, Safety, Insurance teams, and third‐party vendors
  • Support vehicle incident tracking, documentation, and reporting
  • Maintain accurate fleet records across multiple locations and departments
  • Proactively follow up with internal teams to resolve delayed responses, data gaps, or pending actions
  • Manage multiple priorities in a detail-heavy, fast‐paced operational environment


Required Qualifications

  • 2–5 years of experience in administrative support, operations, logistics, or fleet coordination
  • Demonstrated ability to manage multiple trackers, databases, and systems simultaneously
  • Strong organizational skills, attention to detail, and follow‐up discipline
  • Proven ability to take ownership, work independently, and drive tasks through completion
  • Comfortable following up and “chasing down” missing information from internal and external stakeholders
  • Proficiency in Microsoft Excel, including tracking logs, lists, and basic reporting
  • Ability to multitask, prioritize, and adapt in a deadline-driven environment


Preferred Qualifications

  • Prior experience in fleet management, logistics, insurance coordination, or compliance tracking
  • Familiarity with fleet vehicle registration and documentation processes
  • Experience supporting multi-location or distributed fleet operations
  • Exposure to fleet management or telematics systems (e.g., Samsara, Wheelz, or similar) preferred but not required
