Job Summary:
The Receptionist serves as the first point of contact, managing front desk duties, handling communications, supporting office operations, and maintaining a professional and welcoming environment.
Duties/Responsibilities:
• Answer and direct incoming phone calls politely, courteously, and professionally.
• Greet and welcome visitors promptly, providing assistance and a positive first impression.
• Receive, sort, and distribute incoming mail and deliveries; prepare outgoing mail and packages.
• Maintain a clean, tidy, and presentable reception area at all times.
• Monitor and restock office and breakroom supplies as needed.
• Use the intercom system to guide and direct truck traffic, giving clear instructions to drivers.
• Schedule and coordinate meetings; manage conference room calendars to prevent conflicts.
• Manage visitor, vendor, and contractor access; maintain accurate records of signed documents.
• Assist in planning and executing company events and internal activities.
• Maintain and update internal newsletters and digital communication displays to inform staff of updates.
• Collaborate with team members to ensure smooth daily office operations and administrative support.
• Perform other related administrative duties as assigned.
Skills and Abilities:
• Strong organizational skills with exceptional attention to detail.
• Proficiency in operating standard office equipment (e.g., phones, printers, intercom systems).
• Excellent verbal and written communication skills.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.).
• Bilingual proficiency in English and Spanish (preferred).
Experience:
• Minimum of two (2) years of administrative or clerical experience.
Education:
• High school diploma or GED equivalent required.
Physical Requirements:
• Ability to sit for prolonged periods while working at a computer
