Description:

  • Provide administrative support to the Marketing, Sales, Healthcare Commerce and Human Resource business leaders, including coordinating the day-to-day office activities, arranging meetings and travel, reconciling expenses, creating presentations and reports, planning for events, ordering office supplies and arranging vendor contracts.

  • Coordinate the day-to-day activities including scheduling appointments, arranging travel and meetings, maintaining calendar, updating contact information, preparing presentations and correspondence, screening phone calls, greeting visitors and communicating with senior management, outside clients and vendors.

  • Coordinate the specific administrative support functions, including reconciling expenses in Concur, distributing reports, ordering product samples and purchase orders using SAP, maintaining monthly updates, and providing support for the operating functions as needed.

  • Provide back-up support to other members of the senior management team, as needed.

  • Assist or cover for other administrative staff members.

  • Coordinate team and company conventions and events as requested, ensuring that expenses are within budget.

  • Planning process includes:

  • Manage hotel negotiations, travel arrangements, off-site entertainment planning, venue selection and agenda/schedule creation

  • Coordinate transportation and rooming lists

  • Manage budgets for all events and authorize meeting expenses

  • Attend departmental meetings to provide support in note taking, action log tracking etc.

Qualifications:

  • HS graduate or GED equivalent

  • 5+ years of administrative experience

  • Advanced Microsoft Word, Excel, PowerPoint, Outlook, Adesso, SAP

  • Fluent in spoken and written English

Enrollment dates are each January 1st, April 1st, July 1st, and October 1st.

Technical Certification Bonus: Synectics is pleased to award its employees a bonus of up to $500 for an approved professional certification. In determining the bonus amount, Synectics will consider the cost of the test(s) for any certification relating to your current position, achieved during your employment with us. Only one Certification Bonus per calendar year may be awarded per employee. Only current, active employees will be eligible to receive this bonus. It will be awarded 90 days after the Synectics office has received documentation confirming the successful completion of the certification.
