Title: Administrative Specialist

Supervisor: Assistant General Manager

Summary/Objective

The Administrative Specialist will provide comprehensive administrative support to various departments, ensuring smooth day-to-day office operations. This role is responsible for handling a range of administrative tasks, including scheduling, document management, data entry, and general office coordination. The ideal candidate will be highly organized, detail-oriented, and adaptable to shifting priorities.

Essential Functions

  • Manage calendars, schedule meetings, and coordinate logistics.
  • Prepare and distribute internal and external communications.
  • Maintain organized filing systems and manage document flow.
  • Assist with employee onboarding documentation and maintain personnel files.
  • Coordinate travel arrangements and prepare itineraries.
  • Support office supply management and vendor relations.
  • Maintain office supplies and equipment.
  • Prepare and maintain the office budget.
  • Assist in planning and executing office events and meetings.
  • Respond to inquiries and provide excellent customer service.
  • Monitor and update department records and databases.
  • Compile and analyze data to support management decision-making.
  • Assist in developing and implementing administrative policies and procedures.

Qualifications:

  • Education: Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • Experience: Minimum of 2-3 years of experience in an administrative support role, preferably in a corporate or professional environment.
  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with office management software and tools.

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Position Type/Expected Hours of Work

This is a full-time, non-exempt hourly position. Hours of Operation are Monday through Friday, 8:30 a.m. to 5:30 p.m.

No travel is expected for this position.
