Job Title: Servicing Assistant I
Department: SBA Servicing Dept.
Location: Spanish Ridge
Classification: Non-Exempt
Days and Hours: M-F 8-5 pm
Status: Full-Time
Summary: Position will assist the SBA loan processing and loan servicing and operations departments. Aid the SBA loan processors and servicing and operations staff, in performance of support duties which include the following items: input of loans into Loan Manager at application and update prior to boarding; prepare closed loans for Synergy; organize original loan documents and complete the legal files; review title policies and obtain corrections. Assist SBA department in the completion of Debenture paperwork, insurance monitoring and processing, back up for Reconveyances, back up for callbacks, notary duties for entire SBA office, check and sort the daily mail, filing, order office supplies, and assist with special projects as assigned.
Duties and Responsibilities:
- Input loans into Loan Manager, including, codes, ticklers, collateral, relationships, and use of proceeds.
- Prepare closed loans for Synergy and transfer to Document Imaging department.
- Organizing original loan documents and preparing the legal file.
- Assist processors in ordering Tax Service & uploading legal description to tax service agent at closing, and with the SBA Terms and Conditions & SBA Form 159 forms upload to the SBA CAFS system at closing.
- Confirm Community Development Forms have been sent to Compliance at closing.
- Review title policies and endorsements for accuracy and work with title to correct any deficiencies and updating the loan tickler.
- Filing includes scanning in loose paper items to Document Imaging to upload.
- Assist in the Debenture process to obtain signatures, notarize and send out final forms to the CDCs.
- Assist other SBA Servicing team members with Loan Callback as needed.
- Notarizing documents.
- Sorting the daily mail.
- Ordering office supplies.
- Mailing out monthly billing statements or other notices as requested.
- Assist in corresponding with the customers at the direction of various personnel including Loan Processors, Servicing staff, and Managers.
- Able to work under tight time deadlines and handle pressure without sacrificing quality.
Organizational Relationships:
- Daily contact with SBA Operations Manager, SBA Loan Servicing and Operations team members, SBA Loan Processors and Managers, and other staff members as required.
- Moderate contact with Portfolio Managers, other SBA Management members, and Bank customers.
External Business Relationships:
- Moderate telephone and e-mail contact with outside vendors related to insurance tracking and title reports.
Required Skills/Abilities:
Working: Must have a high degree of customer service skills to include the use of tact and diplomacy in daily interactions. Exhibit professional telephone etiquette regularly and have superior time management skills.
Language: Must be able to read, analyze and interpret general business periodicals, journals, technical procedures, or governmental regulations. Demonstrate the ability to write reports and business correspondence. Exhibit the ability to effectively present information and respond to questions from all Bank personnel and customers.
Mathematical: Must possess the ability to compute and apply mathematical concepts, calculate figures, and amounts such as discounts, interest, commissions, proportions, percentages, calculate payments and run amortizations. Understand financial statements and tax returns in order to complete necessary SBA forms.
Reasoning: Exhibit the ability to apply common sense in dealing with problems and ascertain a solution to variable situations. Meeting deadlines is essential to this job.
Interpersonal: Must possess high degree of customer service and communication skills for interaction with internal and external customers, and Bank personnel. Must be able to take direction and assist Servicing staff members, and numerous SBA Loan Processors with several loan files simultaneously.
Computer: Requires excellent computer skills and software knowledge of Windows, Word, and Excel.
Education and Experience: Requires knowledge, skill, and mental development equivalent to the completion of high school. SBA experience is preferred but not required. Position requires a minimum one (1) year of bank experience with that time being spent in documentation/lending. Requires candidates to be a certified notary. Must exhibit an elevated level of organizational skills, attention to detail, and work under tight time deadlines.
