The Practice Administrator provides end‐to‐end administrative, operational, and business‐growth leadership for WellGen Health’s multi‐site clinics. Reporting directly to the CEO, the role blends day‐to‐day clinic management with strategic finance/HR oversight, compliance stewardship, project execution, and business‐development initiatives to drive sustainable performance, patient satisfaction, and revenue growth.
Core Responsibilities:
Strategic & Operational Leadership
• Own daily front‐ and back‐office workflows, ensuring smooth patient and provider throughput, rapid issue resolution, and optimal use of scheduling systems
• Lead weekly huddles and monthly performance reviews; translate findings into action plans and continuous‐improvement projects.
Financial & HR Oversight
• Oversee billing‐team management of LOP invoices, A/R, A/P, credit‐card spend, and bi‐weekly payroll/401(k) processing; maintain audit‐ready records.
• Direct full‐cycle HR (recruitment through off‐boarding), benefits administration, employee‐relations, and labor‐law compliance.
Compliance, Legal & Risk Management
• Draft, review, and steward all contracts, service agreements, and regulatory documentation; present final versions to the CEO for approval.
• Conduct monthly compliance audits covering HIPAA, controlled‐substance protocols, and state/federal labor rules, rectifying gaps promptly.
Patient, Provider & Clinic Operations
• Manage provider rosters and clinic staffing to balance capacity with demand; coordinate with reception to minimize wait times.
• Serve as escalation point for patient concerns, ensuring service recovery and documenting trends for quality‐improvement.
Business Development & Marketing
• Act as Wellgen’s ambassador—cultivating relationships with referring physicians, senior‐living communities, payers, and strategic partners.
• Research new markets, recommend service‐line expansions, and develop branded collateral, digital campaigns, and Zocdoc/SEO initiatives to increase census.
Project Management
• Plan and track clinic build‐outs, technology roll‐outs, and cross‐functional initiatives, using KPIs, risk logs, and timeline dashboards to keep leadership informed.
Reporting & Analytics
• Deliver weekly clinic metrics (patient volume, revenue, task completion) and a comprehensive monthly operations report with variance analysis and recommendations.
Team Leadership & Culture
• Coach and mentor front‐office leads and ancillary staff; establish company structure and foster health work environment.
Recruitment & Hiring
• Run the full hiring cycle—from targeted job postings and credential checks through interviews and negotiated offers/contracts.
• Lead seamless onboarding and orientation, maintain compliant applicant/employee records, and track hiring KPIs (time‐to‐fill, cost‐per‐hire, 90‐day retention) to drive continuous improvement.
Required Qualifications

Bachelor’s degree in Healthcare Administration, Business, or related field (Master’s is a bonus).

5+ years’ progressive leadership in multi‐site outpatient or physician‐group settings.

Demonstrated expertise in revenue‐cycle management, HR compliance, and project management.

Proficiency with EMR/EHR and practice‐management platforms; advanced Excel/analytics skills.

Exceptional communication, negotiation, and relationship‐building abilities; comfortable presenting to executives and external stakeholders.
Work Environment & Travel
Primarily on‐site at Dallas headquarters with routine travel to satellite clinics and partner facilities; occasional evening/weekend availability for strategic initiatives or urgent operational matters.
