We are seeking a highly organized and discreet Executive Assistant to support our Chief Financial Officer (CFO). This role requires exceptional administrative skills, strong business acumen, and proven experience working with Board of Directors. The ideal candidate will be a proactive problem-solver who thrives in a fast-paced, high-stakes environment and can manage complex calendars, confidential communications, and executive-level meetings with precision.
Key Responsibilities:
- Provide high-level administrative support to the CFO, including calendar management, travel coordination, expense reporting, and correspondence.
- Prepare and manage materials for Board of Directors meetings, including agendas, presentations, and confidential packets.
- Attend Board and committee meetings to take accurate and professional minutes, ensuring timely distribution and archival.
- Liaise with Board members, senior executives, and external stakeholders with professionalism and discretion.
- Coordinate logistics for Board meetings, including scheduling, venue setup, catering, and technology support.
- Track and follow up on action items from Board and executive meetings.
- Assist in the preparation of financial reports, investor communications, and strategic presentations.
- Maintain confidentiality of sensitive financial and corporate information.
- Support special projects and initiatives led by the CFO.
Qualifications:
- 5+ years of experience as an Executive Assistant, preferably supporting C-level executives.
- Demonstrated experience supporting a Board of Directors, including minute-taking and meeting coordination.
- Exceptional written and verbal communication skills.
- Strong organizational and time management abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management systems.
- Ability to handle confidential information with integrity and discretion.
- Comfortable working independently and managing multiple priorities.
Preferred Qualifications:
- Experience in a non-profit organization or mission-driven environment.
- Familiarity with board governance practices and compliance requirements.
- Experience in a publicly traded company or financial services environment.
- Bachelor's degree in Business Administration, Communications, or related field.
