We are a rapidly growing quantitative trading firm with offices in Zug and Zurich, Switzerland. We are seeking a highly organized and proactive Executive Assistant (f/m, 100%) to support the management team in the establishment and operation of a new fintech venture.
In this role, you will work closely with senior management, providing comprehensive administrative support to ensure the smooth running of daily operations. You will be responsible for a variety of tasks, including office management, coordinating communications, handling travel arrangements, managing appointments, and ensuring a professional, welcoming environment for both internal and external stakeholders.
We are looking for a dynamic, detail-oriented individual with exceptional communication skills and a positive, solution-driven approach. The ideal candidate will be a skilled multi-tasker, comfortable interacting with executives, clients, and visitors, and able to maintain a high level of professionalism in all interactions. A strong interest in finance and trading, coupled with an entrepreneurial mindset, is essential.

Applicant should be able to work in Zurich, Switzerland and hold a valid B/C permit or equivalent.
Your responsibilities:
- Manage complex schedules, meetings, and appointments for senior executives.
- Coordinate and prioritize internal and external communications.
- Handle travel arrangements, expense reports, and other administrative duties.
- Prepare and review presentations, reports, and documents.
- Liaise with clients and partners with professionalism and discretion.
- Assist in organizing company events, conferences, and other key initiatives.
- Ensure seamless flow of information within the company and across departments.
Requirements
- Proven experience as an Executive Assistant or in a similar role, preferably in the financial/trading sector.
- Exceptional organizational skills with an eye for detail.
- Strong communication skills (both written and verbal) in English
- Ability to work under pressure, manage competing priorities, and meet tight deadlines.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Discretion and confidentiality in handling sensitive information.
- A proactive, flexible attitude and the ability to think ahead.
