The Administrative Assistant plays a key role in supporting property management operations by overseeing maintenance requests, coordinating work orders, handling tenant concerns, processing financial documentation, and ensuring compliance with property-related regulations. This position requires strong organizational, communication, and multitasking skills to work effectively with tenants, property managers, and vendors.
Key Responsibilities include but are not limited to:
- Oversee and update work orders, ensuring timely completion and follow-up with property managers and contractors.
- Coordinate maintenance requests, inspections, and legal work orders, securing necessary approvals and updates.
- Manage tenant complaints and requests, ensuring documentation and prompt resolution.
- Assist property managers with administrative tasks, including meeting agendas, toolbox training, and compliance documentation.
- Monitor and update seasonal work tasks, including pool applications and snow removal reports.
- Assist with onboarding new employees by reviewing resumes, submitting applications to HR, and completing the new hire checklist.
- Maintain accurate records
- Ensure all work orders are processed in a timely manner
Qualifications:
- Strong organizational and multitasking abilities with exceptional attention to detail.
- Proficiency in Microsoft Office (sharepoint, excel, etc., required.)
- Experience with property management software (e.g., Yardi) a plus
- Ability to communicate effectively with tenants, vendors, property managers, and internal teams.
