SUMMARY OF ESSENTIAL JOB FUNCTIONS
● Managing and coordinating the daily schedules of hospital staff (e.g., nurses, techs,
administrative personnel) across different departments and shifts, ensuring adequate staffing
levels to meet patient care needs.
● Identifying and resolving scheduling conflicts and unexpected changes (e.g., call-ins, leaves of
absence) to maintain smooth operations.
● Utilizing scheduling software systems to create, update, and manage employee schedules and
track time off requests.
● Manage and process hospital payrolls accurately and on time.
● Handle payroll discrepancies and answer payroll-related inquiries.
● Work with HR to maintain and update employee payroll data.
● Prepare and administer payroll reports and documentation.
● Oversee payroll reconciliations and resolve any issues.
● Ensure confidentiality and security of payroll information.
● Assist in audits and provide payroll-related information as needed.
● Implement payroll best practices and systems improvements.
● Collaborating with department managers and leadership to forecast staffing needs and optimize
staff allocation.
● Provides support to nursing staff by answering questions and directing staff to the appropriate
person/department
● Provides clerical support to the CNO/CCO and Nursing Department.
● Assists in developing departmental objectives.
● Assists in planning, organizing, and carrying out special projects.
● Maintains the confidentiality and privacy of individually identifiable patient health information
under HIPAA requirements
* Manages and maintains the CNO’s schedules, appointments, and travel arrangements.
● Liaison with internal staff at all levels
● Prepares and edits correspondence, communications, presentations and other documents
● Files and retrieves documents and reference materials.
● Provides support as needed to facilitate special programs.
● Orders supplies for Nursing Administration and maintains office supplies and machines.
● Distributes mail.
● Monitors, screens, responds to, and distributes incoming communications.
● Distributes information to all department directors.
● Serves as back-up for CEO's Executive Assistant.
EDUCATION AND WORK EXPERIENCE REQUIRED
● High school diploma; Associate's Degree preferred
● 3-5 years of office experience required; Executive Assistant experience preferred.
TECHNICAL SKILLS
● Must have functional knowledge of computers and computer software (Microsoft Office, Excel, Word, Publisher,
PowerPoint) and be able to learn new programs
● Must know how to navigate Internet skillfully
LANGUAGE SKILLS
● Must be able to communicate effectively in English both verbally and written
● Additional language is a plus.
PHYSICAL DEMANDS
● Requires standing, bending, turning, twisting, reaching and sitting for an extended length of
time using a computer/or hands.
● May require lifting up to 25 lbs.
● Requires manual dexterity sufficient to operate standard office machines
● Require a normal range of hearing and vision
