Growing automation company is looking for candidates for an Order Entry Specialist at our USA Headquarters. Order entry specialists are responsible for accurately processing customer orders and ensuring timely fulfillment. They serve as a critical link between sales, operations and customer service teams, helping maintain seamless and efficient order processing and high levels of customer satisfaction. This role requires attention to detail, strong data entry skills and the ability to manage multiple tasks in a fast-paced environment.

What you get to do every day:

  • Enter customer orders into Amber System with speed and accuracy and manage both new and existing orders.
  • Acknowledge receipt of customers purchase orders (POs) within 24 hours.
  • Cross-check part numbers to ensure accuracy on customer purchase orders.
  • Communicate with customers, sales teams and vendors to confirm order details and resolve discrepancies.
  • Verify and confirm correct pricing details on customer purchase orders.
  • Check stock availability and communicate lead times as needed.
  • Create and send POs to vendors and obtain vendor confirmations on quantity, cost, and lead-time.
  • Arrange and monitor shipments with carriers as needed, communicate estimated delivery dates and provide order confirmations to customers within 48 hours.
  • Monitor order status and follow up on back-orders, shipping delays and special requests.
  • Obtain shipping documents, BOL’s and packing slips from vendors to prepare and issue Invoices for customers.
  • Maintain accurate records of orders, changes and cancellations and maintain filing systems for customer documents.
  • Participate in training on company order entry systems and adapt to new procedures as needed.

Requirements:

The ideal Order Entry Specialist will have a bachelor’s degree or equivalent. Other requirements include and are not limited to:

  • 2+ years’ experience is desired but not required.
  • Experience with order entry systems or related software is a plus.
  • Excellent written, verbal, interpersonal and analytical skills and attention to grammatical accuracy
  • Proficiency in Excel, Office, and Word is essential.
  • A valid driver's license is required and a passport for international travel is a plus.
  • Fluent in English language
  • Detail oriented and ability to multitask
