We are seeking a versatile and organized Administrative Coordinator to support our administrative, financial, and executive functions. This role is perfect for a detail-oriented individual who enjoys handling a variety of responsibilities, from financial administration to office and executive support. You will be an important link between our leadership, central office, and childcare centers. The ideal candidate is a reliable and proactive self-starter who communicates clearly and thrives in a dynamic environment.

Responsibilities

Financial Administration

  • Process accounts payable, including invoices and employee expenses.
  • Manage accounts receivable, including setting up family payment plans, following up on overdue accounts, and coordinating agency billing
  • Maintain vendor records, including the collection of W-9 forms.
  • Process and reconcile receipts and expense reports

Operations & Center Support

  • Act as a main administrative point of contact for childcare center directors.
  • Audit attendance records for accuracy and to support licensing and funding requirements.
  • Coordinate the maintenance and repair of the company vehicle fleet and maintain service records.

Executive & Office Coordination

  • Provide support to the executive team by managing calendars, coordinating meetings, and assisting with key projects.
  • Manage incoming calls and mail for the central office, directing them as needed.
  • Order and maintain the inventory of office supplies.
  • Coordinate staff celebrations, gifts, and office events.

Requirements

  • Prior experience in an administrative, operations, or executive support role.
  • Understanding of basic bookkeeping principles, with experience in accounts payable and accounts receivable.
  • Proficiency with accounting software and expense management platforms.
  • High proficiency in Google Workspace (Gmail, Calendar, Drive, Sheets).
  • Strong organizational and time-management skills with excellent attention to detail.
  • Clear and professional communication and interpersonal skills.
  • Ability to work independently and manage multiple priorities effectively.

Bonus Points

  • Experience in a childcare, education, or multi-site business environment.
  • Previous experience with fleet management.
  • An interest in event planning and contributing to a positive office culture.
