Role: Your primary role will be to ensure that every client who contacts us feels like they are an extremely important client and that we will do everything we can to help them achieve their goals or solve their problems which often requires perseverance and searching for creative solutions. You will handle some of these service requests yourself, and for some you will have to coordinate with others.


Compensation: $50K - $55K base with bonus available based on performance, with 401(k), and health insurance reimbursement. Generous holiday and vacation schedule.

Qualifications:

· Solid technical skills (Microsoft Office specifically and a CRM system generally)

· High School degree required, college education preferred

· Prior experience in equivalent role within the Financial services industry is a plus

Duties And Responsibilities:

Build and maintain relationships with our clients while providing exceptional client service managing client requests.

Review, maintain and process account documents and information as well as solve potentially complex issues and assignments related to client accounts and transactions.

Assist clients in completing various forms, including but not limited to, pre-populating forms with needed information, sending them to clients in the format the client requests, and following up to retrieve and submit the completed forms.

Assist clients in obtaining needed tax information from custodians.

Track and coordinate required minimum distributions (RMDs) for all clients.

Track statement receipt and processing for all held-away accounts.

Successfully resolve service issues and disputes between clients and various custodians or outside service providers.


Be watchful for, and report, suspicious activity which may indicate a client is being scammed or taken advantage of.


Facilitate the transfer of client funds/securities or the issuance of checks upon request so that withdrawal and funding requests are processed on a timely basis.


Regularly review and take appropriate action on custodian alerts.


Prepare materials for client meetings.


Assist in developing and implementing periodic client communications and events.


Provide advisors with general support including, but not limited to, general correspondence, phone coverage, appointment scheduling, filing and other projects as assigned.


Keep management systems up to date with client information and enter appropriately thorough notes documenting your actions on behalf of client or account service requests.


Maintain office supply levels, restocking where and when needed so outages do not occur.


Manage mail and currier services so that documents are sent or received and internally distributed on a timely basis.


Coordinate the shredding service schedule to ensure the timely destruction of unneeded sensitive documents.

Monitor conference rooms so they remain clean and professional in appearance, and appropriately stocked for each meeting.


Liaison with the landlord and building maintenance to ensure that service requests are fulfilled on a timely basis.
