General Summary: The Surgery Scheduler is responsible for handling of clerical/administrative duties: scheduling all procedures, referrals/pre-certifications, physician orders, and computer task management. A strong communication skill set is required for communications between staff, management and patients served.
Main Responsibilities:
• Coordinate and schedule patients’ procedures/surgeries.
• Interact with patients’, physicians and other staff both within the Clinic, outside facilities providing accurate, timely and responsive information
• Verifies patient eligibility and coverage for the procedure using an online application or the telephone; if patient is not eligible on date of service, or procedure is not a covered benefit, explains this to patients.
• Obtains precertification/preauthorization from insurance companies prior to surgery for each procedure and test, using an online application or by contacting insurer on the telephone.
• Counsels patients pre-operatively regarding their potential financial obligations, and provides information about patient insurance coverage.
• Assist patients with setting up payment plans, and collects pre-surgical deposits.
• Monitor patient charts so that correct forms and reports are readily available to surgeons and nursing staff.
• Ensure efficient telephone communication.
• Maintain accurate block time & surgery schedule information.
• Multi-tasking/cross training.
• Provide information to patients and families, demonstrating courtesy and helpfulness.
• Work as a team member within the department and HMG in a collaborative effort.
• Display excellent customer service skills.
• Must be able to recognize and respond appropriately to urgent/emergent situations.
• Coordinate and document work processes as required.
• Perform other duties as assigned.
• Uses interpersonal skills effectively to build and maintain cooperative working relationships within department and with other HMG departments
Education/Experience/Knowledge:
• High School Diploma or equivalent required
• Minimum 3 years of experience in Medical Office
• Attention to detail
• Strong communication and interpersonal abilities
• Strict adherence to HIPAA guidelines and regulations with regard to providing highest levels of patient confidentiality
• Knowledge of medical terminology/medical office practices preferred
• Knowledge of Touchworks/EMR preferred; however, training will be provided on employment
• Ability to work independently and with minimal supervision
• Ability to work under pressure with time constraints
• Ability to concentrate
