The Receptionist will act as the first point of contact for Metro Fire Equipment customers. The Receptionists primary responsibility will be to receiving incoming calls and proactively work to resolve the customer concerns or requests by accessing company estimating, scheduling, or billing software and proactively providing customers with requested information. In addition, the Receptionist will be responsible for managing the reception area by greeting customers, maintaining the conference rooms, receiving mail and packages, as well as other administrative duties.


Responsibilities

Professionally answer, screen, and appropriately forward incoming calls with minimal incorrect routing

Courteously greet and welcome all visitors when they arrive and provide the appropriate assistance

Notify company personnel of visitor arrival

Receive, sort, and distribute mail, packages and/or deliveries daily

If any mail is returned, contact employee, and request new/ updated address

Maintain conference rooms calendar and ensure double-booking doesn’t occur

Ensure conference rooms is kept neat and orderly

Keep a clean and safe reception area

Input invoices that come in the mail to Vendor Invoice Bank each day

Fold and mail invoices

Pull reports from Building Reports and provide to customer, as requested

Print, bind, and distribute NFPA manuals and study guides, as requested

Prepare and send birthday and anniversary cards to employees each month

Enter certifications and cards into company intranet

Take inventory of bathroom and office supplies and order/ restock as needed

Perform other related duties as assigned or required

Requirements:

High school diploma/ GED

2+ years of proven work experience as a Receptionist, Front Office Representative, or similar role

Proficient in Microsoft Office Suite

Hands-on experience with office equipment, including but not limited to computer, multi-phone console, printer, etc.)

Professional attitude and appearance

Able to work the hours of 8:00 AM – 5:00 PM

Able to start work at scheduled time, end work at scheduled time, follow-up on all missed calls, answer all incoming calls, etc.

Excellent Communication Skills: expresses self clearly and effectively when talking with internal and external customers

Multi-task: Ability to prioritize and manage multiple responsibilities simultaneously

Self-Motivated: able to stay on task and complete tasks with minimal supervision

Preferred

Knowledge of fire systems and tools

Experience working in ProfitZoom

Knowledge of Building Reports and Compliance Engine

Ability to type 40 wpm

Bilingual in English and Spanish
