The position is within an Organizational Health division that includes Human Resources, Behavioral Health, and an Occupational Health & Wellness Clinic. The workplace values collaboration, professionalism, and service-oriented work.Position SummaryThe Temporary Administrative Assistant will provide broad administrative support to the Organizational Health division for an assignment lasting up to six months. This role supports multiple functional areas and reports to the Health and Wellness Manager. The position offers exposure to talent acquisition, HR operations, event support, and occupational health services. While temporary, many individuals in similar roles have successfully transitioned into long-term positions.Essential Job Duties
- Provide administrative support across HR, behavioral health, and occupational health functions
- Assist with talent acquisition processes and recruitment-related tasks
- Support division events, including promotion ceremonies
- Enter and track data in the ERP system (requisitions, invoices, budget items)
- Update and maintain intranet pages and internal documentation
- Format, track, and post policy updates
- Support HR records and confidential files
- Manage conference registrations and professional memberships
- Provide occasional front desk coverage, including main switchboard support
- Assist with occupational health and wellness clinic activities, including firefighter exams
Requirements
- High school diploma required; associate degree or advanced office training preferred
- Minimum of two years of full-time administrative experience
- Intermediate proficiency in Microsoft Outlook, Word, and Excel (testing required)
- Strong written and verbal communication skills
- High attention to detail and accuracy
- Ability to prioritize work and adapt to changing requests
- Experience handling HIPAA-protected or confidential information preferred
