Summary of Position: The Medical Secretary is directly responsible for all office operations necessary to ensure that medical records are current, complete, and in compliance with EverHeart Hospice policy. He/ she will ensure correct CPT and ICD codes are used for proper billing.
Education and Experience:
- High school diploma preferred.
- Associate Degree in Medical Records, Medical Assisting, or equivalent preferred
- Minimum of one year of experience in a healthcare setting.
- Hospice experience preferred.
Special Skills and Requirements:
- Shall have a valid driver’s license.
- Excellent customer service skills.
- Detail oriented with excellent communication, documentation, and organizational skills.
- Ability to follow instructions.
- Ability to work independently without supervision.
- Travel to other sites as needed. Travel may be in inclement weather.
- Ability to lift, carry, organize and bag a minimum of 25 lbs of supplies or equipment, 3-4 times/day, for a duration of 30 minutes each time. On occasion, items up to 50 lbs may be required to lift, push, pull or carry.
- Requires various amounts of sitting, standing, twisting, turning, bending, lifting and walking.
Responsibilities of Position:
- Initiate and maintain a current and complete medical record for each patient.
- Ensure current certification and re-certification forms are completed for each patient.
- Maintain current filing of all clinical records into medical records.
- Maintain on call logs.
- Assist the Finance Department with auditing medical records prior to billing as requested.
- Ensure the plan of care and/or orders are signed and returned by physicians in the time frames established in policy.
- Notify all appropriate persons of any change in patient status.
- Mail and enter FEBS, FEHC, and current Care Surveys every month.
- Maintain all patient logs.
- Maintain DME report and compare DME to patient chart and make sure they are the same.
- Prepare IDG list and notify nurses of patients that are up for review.
- Fax IDG Summary to primary physicians.
- Assist with the Hospice Aide schedule.
- Makes appropriate copies of patient information as requested (ie: transfers, chart audits).
- Assembles admission charts and transfer packets as needed.
- Maintain charts and chart reviews.
- Direct incoming calls, greet visitors, route telephone and faxed messages appropriately.
- Perform opening and closing office duties as applicable
- Complete all documentation as required by the organization in compliance with Agency policy, accreditation bodies, and governing requirements.
- Gather supply needs from clinical staff, order supplies, prepare supplies for distribution weekly.
- General clerical duties to include but limited to utilization of Microsoft Office products, photo copying, faxing, mailing, and filing.
- Other duties as assigned.
