Requirements:
Key Responsibilities
· Prepare and submit accurate billings in accordance with contract terms and project milestones.
· Track and process certified payroll reports in compliance with prevailing wage requirements.
· Review contract details, job starts and job packet to confirm job requirements.
· Enter job detail information into Quick Books and ExakTime.
· Will be managing multiple contracts for multiple division.
· Collaborate with project managers to ensure labor, equipment, and materials are accurately job-costed.
· Monitor contract compliance and ensure proper documentation for billing, change orders, and lien releases.
· Maintain organized and up-to-date records for all contracts, billing cycles, and payment statuses.
· Generate and reconcile reports for internal accounting and project management teams.
· Assist with audits and respond to requests related to labor compliance and billing accuracy.
· Process monthly billing and collections.
· Communicate professionally with clients, vendors, and internal teams to resolve billing discrepancies.
· Ensure billing deadlines are met and proactively alert team leads to any delays or issues.
Required Skills & Qualifications
· 2+ years of payroll or accounting experience, preferably in landscape, construction, or a related industry.
· Proficient in Quick Books and ExakTime platforms (required).
· Experience with job cost accounting and labor allocation
· Proficient in Microsoft Excel.
· Proven ability to prioritize and multitask in a fast-paced, deadline-driven environment
· Strong understanding of prevailing wage laws and certified payroll reporting
· High level of accuracy, confidentiality, and attention to detail.
· Strong organizational, analytical, and communication skills.
· Ability to meet strict deadlines in a fast-paced environment.
· Familiarity with public works contracts, certified payroll, and compliance reporting.
· Bilingual in English/Spanish is preferred but not required.
· Problem-solving skills.
