Eaglebrook is a junior boarding and day school for boys in grades six through nine, located in Deerfield, Massachusetts. Founded in 1922, Eaglebrook’s vision is to help each student develop his unique gifts during the important middle school years, and our mission is to meet boys where they are in their development and encourage them to build self-confidence through success. Eaglebrook offers a rich and diverse curriculum geared toward the learning styles of middle school boys.
Position Title: Main Office Administrator
Position Type: 12-month, full-time, Monday–Friday (8-hour shift, generally 8 a.m.–4 p.m., with occasional to frequent overtime on evenings and weekends) complimentary lunches in our dining hall during student meals.
Work Location: In person at 271 Pine Nook Road, Deerfield, MA
Pay range: $25 - $32/hour
Position Summary
Eaglebrook School is seeking a Main Office Administrator to join our team. This role is ideal for a highly organized, detail-oriented, and motivated administrator who thrives in a fast-paced and dynamic work environment. This position requires an individual who has the capacity and interest to become intimately familiar with Eaglebrook School, including the daily flow of the students, academic, athletic, and social activities. It also requires attention to detail in the handling of these duties.
Primary Duties and Responsibilities
· Serve as the first point of contact for the school in the centrally located Main Office.
· Call for students on the intercom and direct them to the appropriate office
· Greet students, parents, and guests with warmth and enthusiasm.
· Check email and voicemail in the morning and share information with relevant office / individuals.
· Locate and retrieve students as needed in support of the Health Center, Counselors, and SSA Office throughout the day.
· Ensure that school supplies are well-stocked and available as needed to support our faculty and students
· Make other intercom announcements as needed
· Maintain up-to-date and accurate attendance:
· Input absences in myEBS when reported ahead of time
· Input absences in myEBS after receiving
· Assembly attendance sheets
· Follow-up on unexpected absences in a timely manner and locate the student(s) in question
· Update absences throughout the day as they arise
· Provide administrative support and back-up support to the deans and administrators.
· Consolidate daily student attendance, make sure all students are accounted for and in myEBS. Report out as necessary
· Assist with summer school administration, including student registration, faculty onboarding in concert with HR, answer parent questions.
· Keep office and other supplies well stocked for faculty and students. This includes ordering copy paper for all copiers and printers. Manage used toner and ship when full. Main point of contact with office equipment providers.
· Ensure faculty kitchen supplies are stocked, and kitchen area is neat and clean.
· Assist with reimbursement/check request scans and facilitate sending to the Business Office
· Add Eaglebrook vehicles to the calendar for sports and other requests.
· Is responsible for emergency lockdown protocol implementation if needed.
· Facilitate Amazon order approvals submitted by faculty and staff. Provide a cost center breakdown of the monthly Amazon invoices to the Business Office. Maintain Amazon accounts for all faculty and staff
· Process all outgoing shipping including customs paperwork as required.
· Organize and supervise school picture day and re-take day for faculty, staff and students. Distribute IDs to all
· Manage bell schedule.
· Maintain accurate daily schedule on digital signage
· Create “welcome” bulletin board with new faces at the start of the school year, and for Summer semester.
· Assist other departments during events and parent weekends
· Assist other departments with administrative tasks or projects as needed
· Perform additional related duties as assigned
Desired Qualifications
● Associate or Bachelor’s degree a plus.

● Experience in the education sector is a plus, but not required

Current Registrar responsibilities: (to be TRANSFERRED TO ERIKA????)
Handle requests from parents and alumni, and schools regarding transcript requests.
Send transcripts to secondary schools and at end-of-year.
Send all necessary transcripts to be apostilled in Boston.
Submit transcripts to the NCAA as requested.
Collect and manage transcripts for both incoming and outgoing students.
Compile transcript files for 6th Formers for SSA applications (Grades 6-9 needed)
Ensure transcripts are accurate and complete.
