Job Summary
The Construction Office Administrator provides administrative and operational support to ensure the smooth daily functioning of the office and construction projects. This role supports project managers, field staff, and company leadership by handling documentation, scheduling, communication, and general office coordination. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced construction environment. BilingualEnglish/Spanish skills are a plus and helpful for communication with field crews and vendors.
Key Responsibilities
Administrative & Office Support
- Manage day-to-day office operations, including phones, emails, filing, and record-keeping
- Maintain organized digital and physical filing systems for projects, contracts, and compliance documents
- Assist with onboarding paperwork for new employees and subcontractors
Construction & Project Support
- Prepare and track project documents such as contracts, change orders, subcontracts, and permits
- Maintain project logs, schedules, and documentation
- Assist with project document distribution, and tracking
- Coordinate communication between office staff, field crews, vendors, and subcontractors
Accounting & Payroll Support (as applicable)
- Enter invoices, purchase orders, and expense reports
- Timecard collection and payroll data entry
- Insurance certificates, and vendor compliance
- Support basic job costing and reporting as needed
Scheduling & Coordination
- Assist with maintaining project calendars and deadlines
- Support project managers with administrative follow-up
Qualifications
Required
- High school diploma or equivalent
- 2+ years of administrative experience (construction or related industry preferred)
- Strong organizational and time-management skills
- Proficiency with Microsoft Office (Word, Excel, Outlook) or Google Workspace
- Bilingual in English and Spanish (preferred)
- Ability to communicate clearly and professionally
Preferred
- Experience in a construction, contracting, or trade environment
- Familiarity with construction terminology and documentation
- Experience with accounting or construction software (e.g., QuickBooks, B2W, Trello, Workforce etc.)
- Ability to manage multiple priorities in a deadline-driven environment
