The goal of the Operations Specialist is to positively impact the quality of the services provided to clients by assisting wealth management team members and working directly with clients on operational tasks.
Primary Responsibilities:
Client Services
- Create client contracts, including onboarding process with new clients
- Establish and maintain client accounts

- Prepare client paperwork
- Process and track account transfers
- Assist in preparation of other paperwork and requests
- Process money movements, including 401(k) rollovers
- Process beneficiary updates
Maintain relationship with Schwab teams
- Monitor emails and mail for information/events to determine if relating to managing account
- Monitor client accounts and other financial alerts and website for updated information and/or issues/problems
- Assist to ensure Portfolio Center and Advisor View are updated
- Assist with quarterly reporting process

- Ensure data is updated and coded correctly
- Confirm consistency of target allocation outlined in quarterly report, IPS and allocation analysis
- Review report for errors prior to advisor review
- Assist with compiling of portfolio analysis report
- Assist in maintenance & utilization of client database (CRM), and other programs, as applicable
- Assist in preparation of Investment Policy Statements
- Work closely with the operations team on operational items and respond to issues as they arise
- Create solutions for challenging client service situations when they arise
Other responsibilities
- Complete projects as assigned by Operations Manager or Advisors
- Assist operations and other team members as needed with administrative tasks
- Act as a back-up for the main company phone line
- Copy, fax, type and mail documents as needed
- Other administrative duties as assigned
Qualifications:
- 4-year degree required
- 3-7 years of industry experience
- Industry experience with Schwab Institutional, TD Ameritrade, Fidelity, or similar required
- Experience working with Account Management systems
- Portfolio Center and/or Tamarac AdvisorView experience preferred
- Interest in obtaining the AAMS and/or other professional designations a plus
- Strong attention to detail and orientation to numbers
- Polished presentation and written communications skills
- Entrepreneurial spirit and interest in helping to contribute to growth of company
- Team-orientated nature
- Strong knowledge of the various software and technical tools including Microsoft Office Suite
- Expected weekly hours to average 40 - 44 depending upon time of year and special projects
