CalTax is seeking an experienced, detail-oriented Membership & Events Manager to lead the association's membership outreach, marketing efforts, and event planning. This part-time position is ideal for a self-starter who can manage projects independently while contributing to a small, collaborative team. The ideal candidate will have experience working with associations or nonprofits and will take ownership of all aspects of membership engagement and event logistics.

Key Responsibilities

Membership Development & Engagement:

· Develop and implement membership recruitment and retention strategies.

· Review membership database, ensuring accuracy.

· Serve as the primary point of contact for member inquiries and engagement.

· Prepare membership communications, including renewal letters and welcome materials.

Event Planning & Coordination (Primary Focus):

· Plan and execute all aspects of CalTax's Annual Meeting, Board of Directors meetings, and Executive Committee meetings—including venue selection, contracts, catering, lodging, technology needs, transportation, and scheduling.

· Handle all event logistics, including preparing agendas, materials, name badges, and signage.

· Manage RSVPs, travel arrangements, and on-site event operations.

· Coordinate with speakers, sponsors, and vendors, serving as the main logistical liaison.

· Track event budgets and provide post-event reports.

Marketing & Communications:

· Lead marketing efforts to promote membership, events, and CalTax's research and advocacy work.

· Develop and distribute email newsletters, social media posts, and promotional materials.

· Oversee the production of marketing collateral, including flyers, digital ads, and event materials.

· Monitor and report on marketing metrics and campaign performance.

Qualifications

· 4+ years of experience in membership, event planning, marketing, or association management (nonprofit or trade association experience strongly preferred).

· Proven track record of managing meetings, conferences, and membership campaigns.

· Exceptional organizational and project management skills, with strong attention to detail.

· Excellent written and verbal communication skills.

· Proficiency with CRM systems, email marketing tools, and social media platforms.

· Experience with digital design tools a plus.

· Ability to work independently and manage multiple projects with minimal supervision.

· Familiarity with legislative or policy-focused organizations is a plus.

Compensation

· Compensation starts at $50 per hour, commensurate with experience. This is a part-time, hourly position with a flexible schedule and opportunities for long-term growth.

Working Conditions & Schedule

· Part‐time, hourly (non‐exempt). Anticipated 15–20 hours per week.

· During a normal week when events are not being held, this is an in-person position and must be performed at 1201 K Street, Suite 1600, Sacramento, CA 95814 on Mondays, Tuesdays, or Wednesdays. Core business hours are 8 a.m.–5 p.m. (Pacific); schedule can be arranged flexibly within this window.

· Candidates must be available to work events, including early-mornings, evenings, or travel for events (up to 3-5 times per year).
