Title: Medical Claims Assistant (1)

Reports to: Claims Manager

FLSA Status: Non-Exempt

Hours: 40 hours/week, M – F


POSITION TYPE: Temporary-to-Hire (90-Day Contract)
This position is structured as a 90-day temporary contract with the possibility of transitioning to a regular, ongoing role at the conclusion of that period. Continuation of employment beyond the initial 90 days will depend on a variety of factors including, but not limited to:

  • Performance, accuracy, and quality of work
  • Ability to learn and consistently apply procedures
  • Reliability, attendance, and adherence to deadlines
  • Professionalism, communication, and team collaboration
  • Demonstrated alignment with company values and culture
  • Business needs, workload volume, and client demand

Successful completion of the contract does not guarantee permanent employment but may result in a formal offer to join SphereMD as a regular employee based on these conditions.


PRIMARY ROLE: The Medical Claims Assistant performs administrative functions related to the collection, processing, filing, and invoicing of charges from medical providers and other vendors generated from care provided to uninsured mariners who live and work aboard commercial shipping vessels.

Essential duties and responsibilities include but are not limited to the following:

  • Manage communications via phone call, email, and fax with medical providers and other vendors nationwide.
  • Collect bills and supporting documentation from vendors for unbilled services rendered.
  • Invoice clients for routine medical services rendered.
  • Keep current on all assigned claims actions to meet client and company deadlines.
  • Follow basic data entry and claims processing procedures with a high level of accuracy.
  • Adhere to department procedures, guidelines, and goals.
  • Perform administrative duties related to claims work.
  • Collaborate, coordinate, and communicate across departments as needed.
  • Other duties as assigned.

Requirements:

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Accuracy with numbers.
  • Strong attention to detail.
  • Ability to multi-task and prioritize (and re-prioritize) as needed.
  • Takes effective action to problem-solve.
  • Ability to meet customer service deadlines.
  • Comfortable communicating over the phone.
  • Ability to learn and understand SphereMD administrative policies and procedures.
  • Ability to work independently and interdependently with team members with limited supervision.
  • Ability to maintain a friendly, professional demeanor.
  • Ability to maintain regular and reliable attendance and punctuality.
  • Working knowledge and application of medical terminology and standard billing codes is a plus.
  • Consistent, dependable work effort and a positive work attitude.
  • High proficiency with Microsoft Office Suite including Word, Excel, and Outlook, and ability to learn new software. QuickBooks experience is a plus.
  • Ability to maintain an attitude of respect for others and a commitment to get the job done.


Minimum Experience Required

  • Experience: Experience in a professional office environment with high administrative duties. Experience in accounting, medical billing, or claims is nice to have, but is not required. Familiarity with medical coding/terminology is helpful, although not required.
  • Education: High school diploma or its equivalent is required. Associates degree or higher preferred. An equivalent combination of experience and/or education will be considered.

WORKING CONDITIONS: The Medical Claims Assistant job is typically performed under comfortable working conditions with some general office noise.

ATTENDANCE: The Medical Claims Assistant is expected to comply with company attendance standards as stated in the employee handbook to fulfill the essential functions of the job.
