The Monell Chemical Senses Center is a world-renowned non-profit research institute, and a global leader dedicated to advancing knowledge about the senses of taste, smell, and related senses and translating its discoveries into real-world advances in policy, practice, and behavior. Monell is located in the heart of the vibrant educational and life sciences hub of Philadelphia.

The Program Specialist plays a vital role in supporting Monell administration, including Monell Insiders, Philanthropy and Government Relations, Academic Affairs, and more. The Program Specialist provides essential support for both events and data management. Responsibilities include data entry and maintenance, ensuring accuracy and integrity, as well as tracking key metrics to support reporting, evaluation, and follow-up efforts. In addition, the Program Specialist supports event logistics and planning—setting up seminar rooms, coordinating catering, managing RSVPs and registration, and assisting with receptions, corporate events, government meetings, academic symposiums, and fundraising activities.

Up to 20% of the Program Specialist’s effort will be dedicated to general organizational support, including ordering supplies.

Key Responsibilities:


Event Support

  • Support event logistics by setting up seminar rooms, coordinating catering, assisting with on-site technical needs, and other administrative tasks (nametags, RSVP lists, setup, registration, etc.)
  • Support event planning, including logistics for donor receptions, corporate events, government meetings, and academic symposiums.
  • Provide logistical and administrative support for fundraising campaigns, donor stewardship activities, and sponsorship initiatives.
  • Conduct outreach to vendors and external collaborators in support of event planning, day-to-day operations, meeting management, etc.

Data Entry & Reporting

  • Data entry and maintenance for Monell’s Insider Program and Philanthropy and Government Relations (as required), ensuring data integrity and accuracy.
  • Track and report key metrics related to reporting, program analysis, and evaluation, and allow for necessary follow-up on engagement opportunities.
  • Provide reporting support across several areas: Monell Insiders, Philanthropy & Government Relations, Academic Affairs, and other initiatives.

Qualifications & Skills:


  • Bachelor’s degree or equivalent experience preferred.
  • One or more years of work experience in an administrative, project coordination, or database role.
  • Excellent written and verbal communication skills.
  • Highly proficient with technology. Willingness to learn new software tools for CRM and reporting.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Google Suite, and project management tools.
  • Detail-oriented, possessing strong organizational and time management skills, along with the ability to multitask.
  • Interpersonal skills
  • Ability to work both independently and collaboratively in a team setting.
  • Experience in managing donor or CRM management systems (e.g., Bloomerang, Raiser’s Edge, Salesforce, Insightly, or similar CRM platforms) is a plus.
  • Experience with audio/visual equipment and virtual meeting platforms (Zoom, Google Meet) is a plus.
  • Experience in a research, academic, or nonprofit setting is a plus.
  • Knowledge of fundraising, donor and corporate relations, government grants, and academic partnerships is highly desirable.
