Work Arrangement: On-site
Shift: Rotating (Evenings & Weekends)
New Hire Salary Range: $18.79 - $21.20 per hour, to start

Pediatric Front Office Coordinators are the first point of contact for families seeking urgent pediatric care. You will balance clinical administrative tasks with compassionate customer service, ensuring that every child's visit begins with a smooth and welcoming registration process.
Required Availability: As an Express Care facility, this role requires evening and weekend availability to support our community when they need it most.

  • Mon–Fri: 4:30 PM – 9:00 PM
  • Sat–Sun: 9:30 AM – 6:00 PM

Key Responsibilities

  • Patient Interaction: Greet families warmly, manage the check-in/check-out process, and collect copayments.
  • Scheduling & Coordination: Arrange follow-up appointments and connect patients to necessary pediatric sub-specialties.
  • Technology & Records: Utilize Epic and Biometrics for patient registration. Actively promote the patient portal to help parents stay connected to their child's health records.
  • Financial Advocacy: Educate families on their financial responsibilities and provide information on available financial resources.
  • Clinical Compliance: Perform insurance verification, obtain necessary consent signatures, and strictly adhere to HIPAA regulations to protect patient privacy.
  • Administrative Support: Manage high-volume phone lines, scan medical records, and maintain a tidy, efficient front-office environment.

Qualifications

  • Education: High school diploma or equivalent required.
  • Experience:

** Minimum Two (2) years of experience in a medical billing, healthcare registration, or medical customer service role

  • Prior experience with Epic, Medipac, or similar electronic health record (EHR) systems is highly preferred.

Skills: * Proficient typing skills and comfort with computer-based applications.

  • Basic knowledge of medical terminology
  • Strong communication skills and the ability to navigate complex insurance verification processes.

Successful candidates will need to demonstrate a blend of high-level administrative accuracy and a "service-first" personality tailored to a pediatric environment.1. High "Pediatric IQ" and EmpathyIn an Express Care setting, parents are often stressed because their child is sick or injured after normal business hours. A successful candidate will:

  • Remain calm and reassuring under pressure.
  • Communicate with warmth and patience to both children and anxious caregivers.
  • De-escalate tense situations involving long wait times or insurance frustrations.

2. Proficiency in Epic and Revenue CycleBecause registration and insurance verification are the "engine" of the clinic, top candidates will possess:

  • Epic Experience: The ability to navigate patient charts, schedule follow-ups, and update demographics quickly.
  • Insurance Fluency: A strong understanding of copayments, deductibles, and the difference between various plans (Medicaid vs. Commercial).
  • Accuracy: Ensuring "clean" registrations to avoid billing errors later in the cycle.

3. "Express Care" Speed and Multi-taskingUnlike a standard doctor’s office, Express Care has unpredictable "rushes." Successful candidates must:

  • Manage a busy waiting room while simultaneously answering phones and scanning records.
  • Efficiently transition between checking in a new arrival and checking out a departing patient.
  • Take initiative during "down times" to clean the lobby, organize files, or assist clinical staff.

4. Financial Advocacy SkillsThe role requires more than just collecting money; it involves "Financial Advocacy." Successful candidates will:

  • Comfortably discuss sensitive financial information with families.
  • Explain UPMC’s financial assistance resources to those in need.
  • Educate parents on the benefits of using the patient portal for future bill pay and results.

5. Reliability and Schedule FlexibilitySince this is a Part-Time role with a rotating evening and weekend schedule, success depends on:

  • Punctuality for late-afternoon shifts (starting at 4:30 PM).
