Responsibilities:
• Manage incoming calls on a multi-line phone system, ensuring prompt and efficient responses.
• Greet and assist visitors, creating a welcoming and organized front office environment.
• Schedule and coordinate tasks and appointments to support team operations.
• Maintain accurate records and filing systems for correspondence and reports.
• Draft and prepare documents, including emails and reports, as needed.
• Monitor and track customer satisfaction activities to enhance client relationships.
• Provide administrative support to ensure smooth office workflows.
• Assist with general office duties, including organizing files and handling correspondence.
• Facilitate communication between team members and clients to ensure seamless interactions.• Proven experience in receptionist or administrative roles.
• Proficiency in managing multi-line phone systems and switchboards with 1-10 lines.
• Strong interpersonal skills to handle inbound calls and greet visitors effectively.
• Excellent organizational abilities to manage scheduling and filing tasks.
• Competence in drafting and preparing detailed and accurate correspondence and reports.
• Ability to work part-time hours with flexibility.
• Strong attention to detail and a proactive approach to problem-solving.
• Familiarity with customer satisfaction tracking and related activities.
