Job Description

Job DescriptionThe Administrative Assistant supporting Manufacturing plays a key role in ensuring the day-to-day administrative functions of the department run smoothly. This position provides direct support to the Manufacturing Manager while assisting with documentation, reporting, coordination, and communication across the production environment.
This individual will thrive in a fast-paced industrial setting and must be organized, detail-driven, and comfortable working alongside multiple departments including production, engineering, quality, and purchasing.
Primary ResponsibilitiesAdministrative Support

  • Assist the Manufacturing Manager with scheduling, calendar management, and coordination of meetings
  • Prepare and maintain reports, spreadsheets, production schedules, and internal communications
  • Handle incoming calls and direct inquiries appropriately while maintaining professionalism

Records & Documentation

  • Organize and maintain manufacturing-related records such as work orders, inspection documentation, and production files
  • Support document control processes by updating forms, tracking revisions, and ensuring accuracy
  • Manage filing systems, both electronic and physical, in alignment with company standards

Operational Support

  • Monitor and track key production data including output levels, labor tracking, and material usage
  • Assist with purchase requests, inventory documentation, and material tracking efforts
  • Work closely with supervisors to ensure production paperwork is completed correctly and submitted on time

Coordination & Communication

  • Serve as a point of contact between manufacturing and other internal departments
  • Share updates, schedules, and announcements with production personnel
  • Support onboarding processes by preparing and maintaining new hire documentation and training records

General Support Functions

  • Maintain inventory of office and shop supplies, ensuring availability when needed
  • Provide assistance during audits, inspections, and visits from customers or vendors
  • Complete additional administrative duties as assigned to support overall operations

Compensation

  • Hourly Pay: To be determined
  • Compensation will be based on experience, industry knowledge, skill level, and internal pay structure

Required QualificationsTechnical Skills

  • Working knowledge of Microsoft Office applications (Word, Excel, Outlook)
  • Experience with ERP or MRP systems is required
  • Strong ability to manage data, maintain records, and generate basic reports

Preferred Experience

  • Background in a manufacturing, industrial, or production-based environment
  • Exposure to quality systems, production workflows, or ISO standards
  • Previous experience supporting leadership within an operations-focused team
