BASIC FUNCTIONS: Assists with coordination of dispatching vehicle paperwork, such as record keeping for Caltrans grants and other duties as assigned and outlined below, to ensure the efficient operation of the SMSC Transportation Department.
DUTIES AND RESPONSIBILITIES:
- Responsible to have working knowledge of all SMSC policies and procedures for reporting accidents, injuries, and behaviors of staff and consumers.
- Assures all vehicles have proper identification, insurance coverage, and registration.
- Organizes training sessions for new staff orientation, annual trainings of all staff as well as retrains staff when needed.
- Monitors and corrects minor vehicle PMI’s and vehicle repairs are completed in a timely manner
- Regularly review procedures where services provided can be upleveled.
- Assumes the role of manager when and if the transportation manager is out, which may include locking up, monitoring vehicle maintenance schedule and prepare monthly transportation invoices for SDRC billing.
- Conduct regular safety audits on equipment.
- Stay up to date with safety regulations.
- Ability to prepare bi-monthly reports of hours worked by transportation drivers and aids to be submitted to payroll, when needed.
- Works with the transportation manager with the coordination of Caltrans grant requirements and all necessary paperwork.
- Assists the transportation manager with documenting, reviewing, and processing complaints, incidents, and accidents with the executive director.
- Provide assistance to drivers with vehicle problems, as directed by the transportation manager.
- In conjunction with the transportation manager, assure all vehicles are ready for annual CHP, DOT, Caltrans and SDRC inspections.
- Assist transportation manager in assuring all vehicle completion repair forms are filled out and signed by vendors and filed for CHP and other inspections as needed.
- Works with transportation coordinator with daily schedule of vehicles for daily program, when needed.
- May be asked to perform other duties, i.e.: assisting in programming if there is a need for additional staff, making deliveries, temp checks, data input, etc. as determined by transportation manager.
- Other duties may be assigned, as needed, to ensure the safe and effective daily operation of the SMSC transportation program.
PHYSICAL DEMANDS/REQUIREMENTS:
The employee must regularly lift and/or move up to twenty-five pounds; frequently lift and/or move up to fifty pounds; and occasionally lift and/or move up to seventy-five pounds. Specific vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus are required. Occasionally there may be situations requiring high stamina and walking distances up to half a mile in length. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.
WORK ENVIRONMENT:
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee frequently works near moving mechanical parts and is exposed to fumes or airborne particles. The employee occasionally works in outside weather conditions.The noise level in the work environment is usually loud and a very fast paced environment.
QUALIFICATIONS:
- Minimum of two years’ experience in a similar position.
- Valid California Class B Driver’s License with Passenger Endorsement is recommended.
- CPR and First Aid training is required.
- Experience working and transporting adults with development disabilities and sensitivity to elderly people and volunteers is essential.
- Must possess good oral communication and listening skills.
- Strong knowledge base and efficiency concerning the use of computers and telephone is required (such as Microsoft Office and Excel).
- Able to work on a schedule that includes occasional evenings and weekends; be available for on-call duty after hours, one week per month.
- Demonstrate ability to supervise and train staff in the preparation and procedure of the transportation department.
- Ability to collaborate with management, staff, consumers, care providers, parents, social workers, and other community agencies.
- Excellent written and oral communication skills, planning, and organizational skills.
- Ability to work effectively in a constantly changing environment and maintain a work pace appropriate to the workload.
- Possess excellent multitasking skills to meet deadlines and maintain confidentiality.
- Must be able to pass a pre-employment drug test.
- Must be able to obtain and require criminal records clearance.
- First Aid and CPR are required for the position.
