The Capital Law Firm, P.C. is a growing plaintiff personal injury law firm dedicated to delivering exceptional client service and outstanding results.


We are seeking an Office Administrator (Mailroom Clerk) to support the daily operations of the firm by managing front office functions, coordinating workplace logistics, and ensuring the efficient handling of all incoming and outgoing correspondence. This role serves as a key point of contact for visitors and internal teams while maintaining organization, responsiveness, and operational flow.


Front Office & Workplace Support

  • Serve as the first point of contact for visitors, maintaining a professional and welcoming office environment
  • Manage front desk operations, including coordinating guest arrivals, deliveries, and general office inquiries
  • Maintain organization of common areas, including the kitchen and refrigerator, ensuring cleanliness and consistent restocking of supplies
  • Support overall office presentation and readiness throughout the day, addressing spills, cleanliness, and shared space upkeep in real time
  • Provide hands-on support for office initiatives, including lunch and learns, team meetings, and internal events, including coordination and setup when external providers visit


Operational Support & Internal Coordination

  • Support day-to-day office functionality by assisting with operational needs across teams, including workspace readiness and basic troubleshooting coordination (e.g., power access, lost items, general office upkeep)
  • Communicate relevant office updates, needs, or issues to appropriate teams to ensure timely resolution and minimal disruption
  • Assist with coordinating office logistics, including vendor interactions, deliveries, and building-related communication (e.g., security, package tracking)
  • Act as a dependable point of coordination for internal logistics, helping maintain an organized and efficient workplace


Mailroom & Document Processing

  • Manage all incoming and outgoing physical mail, ensuring timely and accurate handling
  • Scan and upload incoming mail into Filevine in accordance with firm procedures
  • Monitor and track incoming packages, coordinating with carriers or building staff as needed
  • Handle incoming faxes and ensure proper routing and documentation
  • Prepare and send outgoing correspondence, including certified mail and time-sensitive documents


Client Experience & Fulfillment Support

  • Assemble and package client materials, including swag bags and gift boxes, ensuring quality and presentation standards
  • Coordinate shipping and delivery of client packages in alignment with firm timelines


People & Culture Support

  • Serve as a trusted extension of the People & Culture team by providing day-to-day support on low-level matters and maintaining awareness of office dynamics
  • Support internal communication efforts by helping relay general office updates and ensuring team awareness of workplace activities
  • Escalate relevant observations or concerns to leadership while maintaining professionalism and appropriate boundaries
