Position Summary: The Agency Relations Coordinator provides support to the Agency Relations team and our partner network of 200+ agencies in the areas of direct agency support, coordination of compliance and capacity building activities, communications and day-to-day support for the partner agencies and the Agency Relations team.
Essential Duties and Responsibilities:
The duties listed below encompass the essential responsibilities of the position in departmental and project coordination, direct agency support, compliance and communications support.
Project Coordination
· Support the onboarding of new agencies, setting up accounts, external and internal communications, including the scheduling, planning, and facilitating of trainings and open houses.
· Provide recommendations for and lead implementation of departmental systems and process improvement
· Update and manage internal database of partner agency resources and training, including but not limited to welcome packet, orientation materials, as well as external agency resources on the MANNA Partner website and ordering site
· Lead the event coordination of the Annual Partner Conference, including but not limited to: securing a site, leading registration, planning of sessions, and on-site logistics
· Lead the continued roll out and implementation of MANNA’s Food Finder software
· Assisting cross-functional staff, with organizational and problem-solving projects related to the partner agency network.
· Coordinate multiple email accounts and calendars; ensuring prompt review and replies
· Lead the Thermo Fisher Scientific freezer and cooler donation program
Partner Agency Support
· Serve as the main point of contact for Partner Agencies; providing problem-solving, customer service, coaching, account and general support
· Serve as the main point of contact for the Agency Relations team; answering all calls directed through the phone system, managing the AR email inbox and AR voicemail box. This includes community members, community partners, and neighbors with questions or feedback about food assistance.
· Offer training and technology support, specifically on how to use the online ordering system, both externally with partners and our network and internally with staff
· Support the Mountain Community Insights initiative, including in-field intake, virtual training, and ongoing training
· Support AR Managers, Director, CEO, CCIO and COO with ongoing projects, grants, and initiatives within the network
Compliance Support & Data Maintenance
· Maintain partner agency database and digital file system accuracy; particularly in preparation for audits and reporting
· Support annual practice audit for Agency Relations FANO requirements
· Update Compliance Tracker, prepare reports on Zone compliance and food safety certification status
· Manage the tracking of agency trainings and requirements for grant funding and compliance
· Complete agency compliance monitoring site visits, as needed
· Ensure agency paper and electronic file integrity, assisting in new account set-up and onboarding tracking
Partner Network Communications & Reporting
· Oversee development of the MANNA Message newsletter to Partner Agencies
· Oversee channels for direct communication to to Partner Agencies and Community Partners such as mail merge and shopping list homepage
· Lead the annual partner survey and agreement communications and reporting
· Keep the partner agency email list up to date and annually audit partner information
· Provide communications support to partner agencies, including email and text message alerts
· Representing the Agency Relations team and MANNA at visits or meetings with Partner Agencies and Community Partners
· Develop channels to encourage direct-from-neighbor communication & outreach, including a MANNA feedback email and voicemail
· Support the development of education resources for agency capacity building
· Maintain centralized survey collection and reporting to support initiatives such as neighbor choice, partner network grouping, agency grant support, and client data tracking
· Support ongoing data reporting on our network, including but not limited to: NAR, quarterly reporting to leadership, Strategic Plans, MANNA Dashboard, and county impact reports
Travel: Routine travel may be required within the service area. Current driver’s license required; copy of current auto insurance; and clean MVR required.

Schedule: Flexible schedule required, including some evening and weekends as needed. Typical schedule is Mon. – Fri. 8a – 4p with evening and weekend hours as needed. In instances of a federal, state or locally declared emergency or order, MANNA FoodBank is typically considered an essential service and emergency responder; all employees may be called upon to perform regular or emergent duties.
Requirements:
· Associate's degree required; Bachelor’s degree preferred, plus a minimum of 2 years’ experience in administrative support, customer service, or nonprofit experience required
· Must have excellent computer skills with a high level of proficiency in Microsoft Office Suite and Outlook
· Must be comfortable with learning and navigating technology and CRMs
· Must be able to work in a busy office environment, work to deadlines and manage multiple priorities
· Experience working with and training on-site and remote individuals and teams
· Must possess strong relationship-building, interpersonal, written and verbal communication skills
· Exceptional communication skills to engage with a diverse group of key stakeholders and staff
· A commitment to the mission of MANNA FoodBank in the work toward ending hunger in Western North Carolina
· Proof of current, valid Driver’s License, auto insurance, use of a personal vehicle and clean MVR
Additional Skills:
· Ability to maintain a flexible schedule and adapt in a dynamic, fast paced environment
· Desire to educate and inspire others in the mission of MANNA FoodBank
· Strong organizational skills
· Training or familiarity with principles of project management
· Food bank experience, a plus
