ABOUT ACHIEVERS:
Achievers Early College Prep Charter School (AECP) is New Jersey's first public charter school for students in middle school and high school that provides them with the unique opportunity to pursue one of four STEAM pathways (Health Sciences, Digital Media, Audio Engineering and Cisco Computer Networking). Students can have access to a program that allows them to earn up to 60 college credits, NOCTI credentials and workplace training. ABOUT THE ROLE:
The Operations Assistant is responsible for supporting the daily operations of the school's reception area, presenting a high achievement culture to all students, visitors and parents. The Operations Assistant is ready to ask students to uphold school standards in between completing administrative tasks at the front desk and supporting the operations team with a year-round activities and events. This employee will answer the phones, sort mail, file, fax, create and maintain databases and complete general administrative duties as needed. Computer proficiency and comfort with various digital applications is a must.
Duties and Responsibilities:
As the Operations Assistant you will...
- Report time: 8am-5pm mandatory (attend all afternoon huddles. Make operations announcements as needed) *attend all evening meetings and events as assigned including Parent Teacher Conferences, Back to School Night, Report Card Night, special events, and all others as assigned by the direct supervisor.
- Serving as the primary contact for all of the school's constituents in person, over the phone, and via email;
- Managing the collection of student, personnel, and school information (receiving fees or forms and tracking information accordingly);
- Directing vendors to delivery locations;
- Supporting school events and activities as needed;
- Managing mail (distributing received mail, preparing school mailings, etc.);
- Visitor management;
- You'll maintain school-wide information systems for enrollment, including students' and personnel information (receive forms and paperwork, track missing forms, manage databases, update contact information, keep records current, etc.).
- Assist with the student enrollment process including recruitment, applications, lottery and post lottery tasks.
- Perform daily attendance procedures to ensure accurate attendance and reporting.
- You'll support school events and activities as needed (making photocopies, setting up/breaking down for special events, parent teacher conferences, coordinating field trips & site visits, making phone calls to confirm attendance, etc.).
- Support and perform all assigned duties for arrival and dismissal of students daily
- Active member of the school safety team
- Maintain a tidy and professional office environment
- Maintain orders as they arrive and ensure that they are stored away properly.
- Report to weekly Operations meetings and all other meetings as assigned.
- Report all lates/tardies/absences to your direct supervisor in a timely manner determined by supervisor.
- Provide other administrative support as assigned.
QUALIFICATIONS:
- Passionate commitment to the mission of Achievers Early College Prep Charter School
- Ability to communicate effectively while demonstrating strong interpersonal skills with teammates, teachers, students, families, and additional stakeholders.
- Organized and able to maintain key systems such as mail, deliveries, student documentation and paperwork.
- Strong time management skills; ability to manage multiple tasks at the same time and meet tight deadlines.
- Ability to maintain a calm, professional demeanor in the face of competing demands and external pressures.
- Bilingual language skills preferred, but not required
- Able to lift and move packages up to 30 lbs
- Bachelor's degree preferred
SKILLS:
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook)
- Proficiency using computers, printers, copy machines, and fax machines
- Excellent organizational, verbal, and written skills
- Ability to travel (for programming, residency and development opportunities)
