We are looking for Accounting and Payroll Assistant to join our team. The Accounting & Payroll Assistant team member is a key support to Elite Alliance’s corporate divisions and managed resorts, ensuring smooth day-to-day and month-end accounting entries, payroll processing, and providing exceptional service to rental owners, clients, and vendors.
The team member must possess an attention to detail and accuracy. The ideal candidate will have a wealth of history demonstrating the ability to work independently, think critically, and communicate effectively. This will be an onsite position for at least 6 months and then the opportunity to work hybrid.
Essential Position Functions and Responsibilities
Accounts Payable for multiple entities, as assigned
- Receive, review and reconcile, and input bills in accounting information systems.
- Prepare payments. Track payments by debit or credit card.
- Participate in W-9 collection, and 1099 reporting, processes.
Accounts Receivable and related oversight for multiple entities, as assigned
- Process recurring and one-off invoices and receipts, in accounting information systems.
- Maintain related customer/owner information in systems.
- Assist with reports and/or calculation for sales tax filings.
Customer Service
- Assist in providing service responses to Rental Owners, Clients, and Vendors on billing and collection inquiries.
- Coordinate with team members, in the accounting department and otherwise, to satisfy Rental Owner inquiries.
Payroll
- Process biweekly payrolls for 80 to 90 employees across multiple states, timely and accurately, setting up deductions, auditing payroll reports, processing tax forms, and resolving pay issues.
- Manage payroll schedules, deductions, garnishments, and tax compliance.
Record keeping
- File and maintain accounting records as assigned.
- Assist with budget entry as assigned.
- Assist with month end close processes in accounting information systems.
- Assist with year-end close processes in accounting information systems.
- File and maintain biweekly payroll and payroll tax return records for corporate divisions and managed resorts.
General Ledger
- Make ledger entries in accounting information systems as assigned.
Accordingly, you may be expected to perform other tasks and duties as needed or as directed.
Education, Experience, and Knowledge
- Associate degree in Accounting, Business, or Finance preferred; or equivalent combination of education, training, and/or 2-4 years’ experience related to the content of the position may be considered.
- Experience in a similar position in hospitality, short-term rental, or property management industry; preferably in a luxury setting is a plus.
- Basic understanding of accounting principles. Understanding of rental management (or property management) trust accounting a plus.
- Strong knowledge of payroll regulations and compliance requirements.
- Working knowledge of accounting and short-term rental information systems a plus: Escapia, QuickBooks Enterprise Desktop, QuickBooks Online.
- Experience with ADP Workforce Now is highly desirable.
- Proficient in Microsoft Office, including but not limited to: Teams, Excel, Word, Outlook, and SharePoint.
- Ability to think critically and have a strong attention to detail.
- Excellent analytical and math skills.
- Must be self-driven, work independently, and have the ability to multitask.
- Effective time management to prioritize tasks and adhere to deadlines.
- Maintain appropriate levels of confidentiality when interacting with employees, rental owners, vendors, clients and their customers and vendors.
