Position: Inventory Management Specialist

Department: Administrative

The Inventory Management Specialist is an hourly position responsible for data management and assisting in general office administrative tasks, as well as maintaining inventory accuracy and reporting in conformance with established Farm policies, strategies, and procedures.

Primary Responsibilities:

Performs any functions necessary, within scope of authority and expertise, to provide the highest level of customer service and responsiveness to the needs of individuals, families, businesses, and organizations served by the Farm.

  1. Responsible for performing routine stock counts based on a stock count calendar in coordination with the Operations Manager to identify the origins of product gain or loss and ensure inventory integrity for the profitability of the business. This includes, but is not limited to:
    1. Performing stock count re-checks as requested by the Operations Manager.
    2. Researching stock count discrepancies by viewing prior routine inventory counts, waste reports, date checks, receiving records, inventory adjustments, etc.
    3. Tracking and Maintaining Inventory integrity within the organization’s database. This includes all product information such as quantities, correct department linking, appropriate gross margins and reporting for Managers.
    4. Works in coordination with operations team to correct differences once identified, product information if necessary, and communicates results to General Manager.
  2. Responsible for data coordination and management related to product inventory such as adding new items, price adjustments, product corrections, data entry and report generation.
  3. Assists other departments with data management including but not limited to: correcting costs and pricing within departmental systems, correcting aisle locations, discontinuing and recontinuing product, provides daily item cost change reports and daily waste reports to each individual department, reviews new item set up, reviews open department sales, scale item issues, items that are not scanning, etc.
  4. Processes daily suspended sales of product and sends the report to the Operations Manager, CEO and Store Manager
  5. Prints reports as requested for Department Managers including Movement, Inventory, Receiving Tickets.
  6. Applies stock counts for the Gift and Garden Center departments.
  7. Researches and looks for product inventory that cannot be found by the stockers, communicating where the product was if found and / or correcting product inventory and helping to ensure the product is stocked on the Market floor.
  8. Responsible for receiving processes including finalizing scanned invoices (checking costs and quantities received), issuing credit requests and maintaining a credit log, vendor relationships, entering and maintaining receiving data and following up on missing invoices. Keeps invoices in an organized system for the Operational Systems Manager.
  9. In coordination with the Receiving Manager, completes rechecks on items not found on invoices to identify which items need credit.
  10. Performs routine item checks as requested by the CEO and Managers.
  11. Identifies mis picks and communications them with the Store Manager.
  12. Routinely creates reports including those of discontinued products and all Market items, removing the aisle locations for discontinued product that no longer has inventory on hand, and assigning the correct aisle locations to any product with inventory on hand that is missing an aisle location.
  13. Prints shelf tags and sets up electronic shelf tags upon request.
  14. Performs month-end tasks including Random Weight and negatives stock counts, label inventory, monthly Market and Kitchen waste reports, following up with vendors on credits that have not yet been approved, sending out a report to the Operations Manager that includes each invoice that was finalized in the given month.
  15. Perform other administrative duties, including but not limited to, customer service, filing, faxing, data entry, and spreadsheet maintenance, as needed.
  16. Works in coordination with the Receiving Team by finalizing processed invoices for payables.
  17. Imports invoices for big orders using Excel on Tuesdays in advance of main deliveries, identifies new products that need to be set up and communicates that to the General Manager and Grocery Manager.
  18. Candidate will be expected to cross train among departments to fully understand the internal structure of the Farm before officially becoming the Inventory Manager.

The above is a description of the ordinary duties of the position. It should be expected other duties both related and unrelated to the above may be assigned, and therefore, required.

Position Requirements:

Previous Accounting and/or Inventory Management experience preferred. Attention to detail and ability to multi-task required. Knowledge of MS Word and Excel preferred. Must be articulate and demonstrate excellent interpersonal and organizational skills. High level of professionalism with the ability to maintain confidentiality while working as a team is key. May work non-standard hours or days around month-end counts.
