Position Summary:
We are seeking a detail-oriented and organized Billing Specialist to support our billing and administrative operations. The ideal candidate will be comfortable working with billing software (Deltek Ajera), Excel spreadsheets, and a variety of administrative tools. This role plays a key part in ensuring accurate billing and effective coordination across departments.
Key Responsibilities:

Perform billing data entry including contract information, timesheets, mileage logs, and reimbursable expenses

Create, maintain, and update various project tracking spreadsheets in Microsoft Excel

Complete assorted billing tasks in Deltek Ajera, including activating jobs and scanning billing-related documents

Serve as backup for inspections coordination scheduling using Outlook Calendars

Provide cross-functional administrative support during staff absences or vacations
Additional Responsibilities May Include:

Serve as backup at the front desk to greet visitors and handle general inquiries

Type contracts and assist with other documentation tasks

Process FedEx shipments and deliveries

Assist partners and project managers with miscellaneous filing and scanning tasks
Qualifications:
-
High school diploma or equivalent required; Associates degree or higher preferred

1-3 years of experience in billing, data entry, or administrative roles

Proficiency in Microsoft Office, especially Excel and Outlook

Experience with Deltek Ajera or similar billing/project management software is a plus

Excellent attention to detail and organizational skills

Ability to manage multiple tasks and deadlines efficiently

Strong communication and interpersonal skills
Work Environment:

Office-based role with regular use of standard office equipment

Pay Details: $20.00 to $23.00 per hour
