Job Description
Accounting & HR Assistant in sheet metal manufacturing supports the Finance & HR Department by managing the high volume of transactions typical of a production environment. They focus on maintaining the general ledger, tracking manufacturing costs, and ensuring accurate financial records for raw materials like steel and aluminum.
Core Responsibilities
- Accounts Payable (AP): Process invoices for raw material suppliers (metal service centers) and hardware vendors; ensure three-way matching with purchase orders and packing slips.
- Accounts Receivable (AR): Generate customer invoices for completed fabrication projects and follow up on delinquent payments to maintain healthy cash flow.
- Inventory Tracking: Reconcile physical inventory counts of sheet metal, hardware, and finished goods against the ERP system.
- Bank Reconciliation: Perform monthly reconciliations of bank statements and credit card transactions to the general ledger.
- Recruitment Support: Post job openings for skilled trades and general labor; coordinate interviews, and manage the applicant tracking system.
- Onboarding & Orientation: Conduct new hire orientations, verify I-9 documentation, and coordinate safety training for the production floor.
- Payroll & Timekeeping: Monitor attendance records and shift differentials; assist in processing weekly or bi-weekly payroll for hourly staff.
- Records Management: Maintain accurate personnel files and ensure compliance with labor laws and OSHA record-keeping requirements.
- Employee Relations: Answer basic questions regarding benefits enrollment, PTO requests, and company Standard Operating Procedures (SOPs).
Key Skills & Qualifications
- Education: An Associate’s degree in Accounting or Finance is standard; a Bachelor’s degree is preferred for those pursuing a CPA track.
- Software Mastery: Proficiency in accounting software like QuickBooks, Sage, or industry-specific ERP systems.
- Excel Skills: Advanced ability to use pivot tables and VLOOKUPs for financial data analysis.
- Detail Orientation: High precision in data entry to ensure accurate tax reporting and financial statements.
- Soft Skills: Strong interpersonal communication and the ability to handle confidential information with extreme discretion.
- Industry Knowledge: Basic understanding of employment laws (FMLA, FLSA, ADA) and safety regulations.
