Position Summary
The Intake Specialist for the HRSN (Housing-Related Social Needs) Program plays a vital role in helping individuals secure stable housing by conducting intake screenings, facilitating initial rent payments, and ensuring a seamless transition into case management. This position requires strong attention to detail, financial coordination skills, and a compassionate, trauma-informed approach to client engagement.
Key Responsibilities
1. Client Screening & Intake Process

  • Conduct initial screenings to determine eligibility for the HRSN Program based on funding and program criteria.
  • Collect and review required documentation, including identification, proof of income, and other necessary paperwork.
  • Clearly explain program guidelines, expectations, and next steps to potential clients.
  • Ensure all client information is securely recorded in the client database, maintaining strict confidentiality.


2. Financial Coordination & Initial Payment Processing

  • Assist clients with their initial rent payment, ensuring accuracy and compliance with program policies.
  • Process utility payments on behalf of program participants.
  • Maintain detailed financial records of payments made and received.
  • Provide receipts and payment confirmations to clients and landlords as needed.


3. Client Transition to Case Management

  • Facilitate a smooth handoff to the assigned case manager once rent payment is completed.
  • Ensure accurate transfer of client records, financial details, and intake notes to the case management team.
  • Communicate any immediate client concerns to case managers for early intervention.


4. Data Entry & Reporting

  • Maintain accurate and up-to-date records of client intake, payments, and status updates.
  • Generate reports as needed to track program participation, financial transactions, and client transitions.
  • Ensure compliance with Medicaid, county, and grant reporting requirements.


5. Client Support & Relationship Building

  • Provide compassionate, trauma-informed support to individuals entering the program.
  • Serve as the first point of contact, answering questions and addressing initial concerns.
  • Uphold a low-barrier, housing-first approach that ensures equitable access to services.


Qualifications & Skills

  • Experience in intake coordination, social services, housing programs, or a related field (preferred).
  • Strong organizational skills and attention to detail.
  • Experience handling financial transactions and maintaining accurate records.
  • Ability to work with diverse populations, including individuals experiencing houselessness or housing instability.
  • Proficiency in client databases, Microsoft Office (Excel, Word, Outlook), and data management tools.
  • Strong verbal and written communication skills.
  • Understanding of Medicaid guidelines and housing-first principles (preferred but not required).


Performance Expectations

  • Complete client intake screenings within designated timelines.
  • Accurately process and track client payments with zero discrepancies.
  • Effectively transition clients to case management within the expected timeframe.
  • Maintain 100% compliance with confidentiality and data security policies.
  • Demonstrate cultural competency and a client-centered service approach.


Work Environment & Schedule

  • Primarily office-based work, with potential for remote administrative tasks.
  • Occasional site visits to partner agencies or housing locations may be required.
  • Regular business hours with some flexibility based on client needs.
