Job Description

The Human Resources Administrative Assistant provides administrative and operational support to the Human Resources department in the implementation and administration of HR programs, policies, and procedures. This role helps ensure efficient HR operations while supporting employees and leadership across the organization.

Key Responsibilities

Daily, weekly, and monthly responsibilities include, but are not limited to:

  • Maintain and administer company birthday and work anniversary lists

  • Coordinate and monitor completion of pre-employment testing for candidates

  • Conduct reference checks as required during the hiring process

  • Assist with new hire onboarding, including orientation support and HRIS data entry

  • Support the exit interview process when applicable

  • Maintain and update the Human Resources Information System (HRIS) and generate reports as needed

  • Assist with maintaining organizational charts and the company employee directory

  • Support employee recognition initiatives and engagement programs

  • Assist with employee retention initiatives and HR programs

  • Support internal HR audits and compliance reviews

  • Assist in responding to unemployment claims and wage audit requests

  • Process and complete employment and wage verification requests

  • Maintain and organize confidential employee personnel files

  • Manage scrub orders, inventory tracking, and distribution to employees across offices, including applicable employee charges

  • Perform additional administrative and HR-related duties as assigned

Skills & Qualifications

  • Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities

  • Professional and courteous telephone etiquette with strong interpersonal skills

  • Excellent verbal and written communication abilities

  • Professional demeanor with a positive and service-oriented attitude

  • Proficiency in Human Resources Information Systems (HRIS) and standard office software

  • Working knowledge of human resources policies, procedures, and best practices

Job Specifications

  • 1–2 years of experience in Human Resources, administrative support, or a related field, or an equivalent combination of education and experience

  • Experience with ADP workforce systems is a plus

  • High School Diploma or GED required

  • Ability to lift and move materials weighing up to 15–20 pounds when necessary
