Job Summary: The Office Administrator is the first point of contact for all plant and customer service calls, providing high quality service to customers and employees. The position coordinates Customer service and technical calls as well as supports the Memphis Manufacturing plant in several departments. This position works full-time on-site at Memphis Manufacturing facility at 746 Poplar Ave, Memphis TN 38105.

Schedule: Monday-Friday 8:00 AM-5:00 PM

Duties/Responsibilities:

  • Answers incoming calls to support customer service, greets everyone with a professional tone and directs call to appropriate party and handles all other requests.
  • Assists customer service team with order entry and acknowledgments
  • Performs accounts payables, verifies all orders against packing slips and tracks back-orders, to include GL coding invoices and assures approval for payment.
  • Assists Corporate departments with reporting, billing, and rebates.
  • Manages employee recognition and fulfillment processes
  • Maintains incoming and outgoing mail on a daily basis.
  • Maintains safety files for employees, and tracks safety inspections
  • Coordinates employee events

Required Skills/Abilities:

  • Proficiency with MS Office with emphasis on Excel and Adobe Acrobat Pro.
  • Excellent interpersonal, negotiation, and conflict resolution skills.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Excellent verbal and written skills.
  • Ability to act with integrity, professionalism, and confidently.
  • Ability to work independently with limited supervision.
  • Strong organizational skills must

Physical Requirements:

  • Must be able to remain in stationary position for most of the workday.
  • The person in this position will need to move about the office to access files, prepare and attend meetings, and operate office equipment.
  • Occasional moving of boxes and files up to 15lbs.
  • Occasional positioning to maintain files in file cabinets.
